1) Reporting & Communication:
Strictly adhere to company policies and SOPs as the Lead Site Operation by compiling and maintaining a comprehensive summary for every site meeting, inspection, coordination session, and visit capturing key discussions, work progress, issues raised, directives issued, action items, accountable parties, and necessary follow-up tasks. Submit compulsory fortnightly progress reports via email one day prior to scheduled progress meetings, alongside essential daily updates through the designated Project WhatsApp group, to ensure timely and required progress updates are delivered to the Project Manager and Management Team.
2) Work Programme & Progress Monitoring:
Executed direct collaboration with the Project Manager across the complete project lifecycle; performing essential site visits and formulating work programmes during the tender process, and overseeing internal and external master work programme submissions and planning throughout the construction stage. Enforced strict alignment between project schedules, approved budgets, and actual site progress from internal project kick-off. Prepared precise percentage-of-progress figures for external reporting and directly assisted the Landscape Architect with progress reports and shop drawings.
3) Project Coordination & Site Operations:
Directed overall site operations and held full responsibility for end-to-end project delivery following scope of works in the Letter of Award (LOA), Construction Drawing, approved Variation Order (VO) and budget reviews with the Project Manager. Planned and oversaw multiple landscape sites to ensure efficient, safe work aligned strictly with schedules and quality standards. Managed subcontractors, equipment, materials, and site resources; forecasted manpower needs; coordinated with purchasing for material procurement, purchase order (PO) signing, and transportation; and led daily morning briefings with supervisors to communicate operational priorities, safety requirements, and targets.
4) Site Documentation & Claims Management
Led the site documentation team, identified critical site conditions, and instructed supervisors to issue Requests for Work Inspection (RFWIs), Requests for Information (RFIs), Confirmation of Verbal Instructions (CVIs), and site memos, ensuring the final version of all RFIs was officially emailed out. Coordinated directly with the Landscape Architect for the issuance of official letters and reports, including defect and obstruction reports. Directed and managed monthly claim targets, forecasts, documentation, and site information gathered from supervisors in strict compliance with company procedures and SOPs. Verified all on-site claim items, reviewed final compilations from supervisors including signed layouts, signed re-measurement forms, and signed Delivery Orders (DOs) from external parties, and submitted them to the Project Manager and Quantity Surveyor for claim preparation. Finalized the process by submitting complete claim documentation to the client or main contractor for verification and signature before returning it back to the QS by the agreed deadline.
5) Material procedure and Profitability Optimization
Monitored material requirements against work programs and site demands per contract prior to proceeding with and signing any purchase orders (PO), strictly following company procedures and SOPs. Ensured zero Variation Order (VO) items were processed without prior Landscape Architect Instruction (LAI) approval and formal RFI responses from the external team. Minimized material wastage through efficient construction methods, accurate resource planning, and strict inventory control to maximize project profitability without compromising quality or timelines.
6) Safety, Health, Regulatory Compliance & Stakeholder Liaison
Ensured all landscape projects strictly complied with local regulations, environmental standards, construction codes, QA/QC procedures, design specifications, and on-site safety protocols. Managed daily communication with the external project team; including clients, consultants, contractors, Clerks of Works, subcontractors, and suppliers regarding project requests, briefings, and updates, while fostering strong, collaborative relationships across both internal and external teams.
7) Other Responsibilities:
Executed any extra duties assigned by the Project Manager or management team, providing continuous support to team operations as required.
Working hour :
8:00 am - 4:30 pm (Monday to Saturday)
