Job Description

Responsibilities

Key Responsibilities

1. Recruitment & Hiring Support

  • Assist in recruitment activities, including candidate sourcing, screening and interview coordination.
  • Maintain and update recruitment records and candidate databases.
  • Coordinate interview schedules between candidates, HR and hiring managers.
  • Assist with preparation of recruitment and onboarding documentation.

2. Site Attendance & Leave Administration

  • Monitor and maintain employee attendance records across assigned property management sites.
  • Review attendance records and identify irregularities, late attendance, absenteeism or other discrepancies.
  • Manage and maintain employee leave application records.
  • Follow up with sites on outstanding or incomplete leave applications.

3. Site HR Coordination

  • Communicate and coordinate with Site Administrators regarding HR and administrative matters.
  • Maintain proper records of site-level HR matters and follow-up actions.
  • Assist with regular HR checks and site visits when required.

4. Overtime (OT) Administration

  • Collect and check monthly overtime submissions from property management sites.
  • Check OT hours and assist with the calculation of payable overtime hours in accordance with company policies.
  • Identify discrepancies or incomplete information and follow up with Building Managers or Site Administrators for clarification.

5. Medical Claims Administration

  • Receive and verify employee medical claims and supporting documents.
  • Follow up with employees or site personnel regarding incomplete or unclear claim submissions.
  • Maintain proper records of medical claims and ensure timely submission for processing.

6. Employee IT & System Coordination

  • Coordinate IT requests and tickets relating to new employees, including account creation, system access and other required IT arrangements.
  • Coordinate IT access removal and related requirements for resigned or exiting employees.
  • Maintain proper records of IT requests for employee onboarding and exit.

7. HR Records & Document Management

  • Perform data entry and maintain accurate employee information and HR records.
  • Upload, organise and maintain HR documents and employee records in the Company's SharePoint and OneDrive.
  • Assist in preparing HR reports, trackers and summaries when required.

8. Performance Appraisal Administration

  • Monitor employee performance appraisal schedules, including probation confirmation and contract renewal/extension assessments.
  • Follow up with Site Administrators to ensure appraisal forms are completed within the required timeline.
  • Maintain proper records of completed appraisal forms and related documentation.
  • Escalate overdue appraisals to the HR team for further action.

9. Employee Onboarding & Exit Support

  • Assist with the onboarding process for new employees, including preparation of HR documentation and coordination with relevant departments.
  • Assist with employee resignation and exit administration.
  • Coordinate with relevant departments on employee clearance, IT access termination and other exit requirements.

10. General HR & Administration

  • Assist the HR team with day-to-day HR and administrative activities.
  • Assist in maintaining HR trackers and databases.
  • Assist in coordinating staff uniforms, company items, employee documentation and other HR-related administrative matters.
  • Assist with HR audits, projects and initiatives.
  • Perform any other duties and responsibilities assigned by the HR Manager or HR Team.

Requirements

  • SPM or Diploma qualification in Human Resources, Business Administration, Management or a related field.
  • Minimum 2 years of relevant working experience in HR and/or Administration.
  • Experience in property management, facilities management or multi-site operations will be an advantage.
  • Good knowledge of Microsoft Office, particularly Microsoft Excel, Word and Outlook.
  • Familiarity with Microsoft SharePoint and OneDrive is an advantage.

Pay: RM2,000.00 - RM2,800.00 per month
