Responsibilities

Job Summary We are seeking a highly organized, professional, and proactive Secretary to join our human capital and corporate administration team. In this pivotal role, you will serve as the administrative and organizational backbone for our corporate executives, regional directors, and business unit leads. Operating from our centrally located downtown office, you will streamline day-to-day office operations, manage executive calendars, process complex corporate documentation, and coordinate cross-departmental communications. The ideal candidate will combine exceptional record-keeping precision with sharp interpersonal maturity to maintain a seamless, executive-ready environment for our expanding regional workforce.

Key Responsibilities

  • Executive Calendar & Schedule Management: Coordinate, optimize, and maintain complex calendars for regional directors and executives, proactively managing high-level consultations, board meetings, and corporate events across different time zones.
  • Documentation Management & Control: Prepare, format, and archive high-volume corporate letters, executive briefs, multi-lateral reports, meeting minutes, and legal agreements with absolute data integrity and strict confidentiality.
  • Meeting Support & Secretarial Duties: Schedule multi-departmental project syncs, manage boardroom configurations at our High Street Centre facility, welcome high-level corporate partners professionally, and capture detailed action items during executive reviews.
  • Travel & Logistics Coordination: Manage end-to-end global corporate travel itineraries, flight bookings, accommodation allocations, and visa processing workflows, aligning travel logs seamlessly with corporate expenditure tracking guidelines.
  • Expense & Financial Administration: Assist in processing corporate travel claims, verifying corporate credit card expenditures, and tracking administrative vendor invoices against completed delivery requirements.
  • Cross-Functional Communication: Act as a reliable and professional communication bridge between front-office directors, backend tech infrastructure units, legal compliance teams, and external global stakeholders.
  • Data Privacy & Compliance Adherence: Ensure all executive records, digital file structures, and data handling protocols strictly comply with internal corporate safety guidelines and the Personal Data Protection Act (PDPA).

Requirements

  • Education: Minimum Diploma or Bachelor's Degree in Business Administration, Secretarial Studies, Communications, Corporate Governance, or a related professional discipline.
  • Technical Proficiency: High competency in utilizing advanced Microsoft Office Suite applications (Word, Excel for data tracking, and PowerPoint for executive presentation decks) alongside modern corporate unified communication frameworks.
  • Experience: Prior experience (2–5 years) as a corporate secretary, executive assistant, or senior administrative specialist—preferably within a professional services, financial advisory, corporate secretarial, or management consulting environment—is required.
  • Communication: Exceptional verbal and written English communication skills; professional telephone etiquette and a highly diplomatic, polished stakeholder management style.
  • Core Competencies: Outstanding structural logic, sharp emotional intelligence, intense attention to detail under tight corporate deadlines, and a resilient team-player mindset.

Pay: $4,600.00 - $7,000.00 per month
