Awibubu Baby & Kids
We are looking for a responsible, organised and hands-on Inventory & Events Supervisor to oversee Awibubu’s inventory operations and coordinate our participation in baby fairs, exhibitions, roadshows and promotional events.
The ideal candidate should be comfortable managing stock, coordinating logistics, working with different departments and leading an event team to ensure smooth day-to-day operations.
Key Responsibilities1. Inventory & Stock Management
- Oversee daily incoming and outgoing stock.
- Ensure all stock movements are properly recorded and updated in the inventory system.
- Conduct regular stock counts and reconcile physical stock against system records.
- Investigate stock discrepancies, missing items and damaged products.
- Monitor stock levels and highlight low-stock or overstock items to management.
- Organise warehouse stock according to SKU, product category, size, colour and design.
- Ensure proper stock labelling and storage.
- Coordinate stock transfers between warehouse, retail outlet, online operations and events.
- Manage returned, defective, clearance and promotional stock separately.
- Maintain good warehouse housekeeping and stock accuracy.
2. Baby Fair & Event Planning
- Coordinate Awibubu’s participation in baby fairs, exhibitions, roadshows and pop-up events.
- Prepare event timelines and operational checklists.
- Coordinate with event organisers regarding booth location, setup requirements, move-in/move-out schedules and event regulations.
- Work with management and marketing team on booth layout, product display and promotional requirements.
- Coordinate booth contractors, transportation and other external suppliers when required.
3. Event Stock Planning
- Determine the quantity and product mix required for each event based on previous sales and expected demand.
- Prepare stock before each event and ensure quantities are properly recorded.
- Arrange stock packing, labelling, loading and transportation to the event venue.
- Monitor stock levels throughout the event and arrange replenishment when required.
- Conduct stock reconciliation immediately after each event.
- Ensure unsold stock is properly returned to the warehouse.
4. Event Setup & Operations
- Supervise booth setup before the event.
- Ensure displays, racks, cashier area, promotional materials and stock areas are properly arranged.
- Coordinate POS/cashier equipment, shopping bags, price tags and other operational materials.
- Ensure the booth is ready before opening time.
- Handle operational issues during the event and communicate with management when necessary.
- Supervise dismantling, packing and stock return after the event.
5. Event Staff Coordination
- Prepare staff duty rosters for baby fairs and roadshows.
- Brief staff on their responsibilities, promotions and event procedures.
- Coordinate staff attendance, break schedules and manpower allocation.
- Ensure sufficient manpower during peak periods.
- Monitor staff performance and maintain good customer service standards during events.
6. Reporting & Administration
- Prepare inventory reports and stock reconciliation reports.
- Prepare pre-event stock lists and post-event stock reports.
- Record damaged, missing or defective products.
- Assist management in analysing event sales versus stock movement.
- Maintain proper documentation for stock transfers and event operations.
- Recommend improvements to warehouse and event operating procedures.
Requirements
- Minimum Diploma or equivalent qualification.
- Experience in inventory, warehouse, retail operations or event coordination is preferred.
- Strong organisational and coordination skills.
- Good knowledge of Microsoft Excel / Google Sheets.
- Able to work independently and solve operational problems.
- Responsible and detail-oriented, particularly with stock quantities and documentation.
- Good communication and team leadership skills.
- Comfortable working in a fast-paced retail environment.
- Must be willing to work weekends and public holidays during baby fairs or promotional events.
- Able to travel for outstation events when required.
- Possession of own transport would be an advantage.
Ideal Candidate
We are looking for someone who is hands-on rather than purely administrative. This person should be able to manage warehouse stock accurately on normal working days and, when Awibubu participates in a baby fair, take charge of the operational coordination from stock preparation → logistics → booth setup → manpower → event operations → dismantling → final stock reconciliation.
