We are looking for a
responsible, resourceful, andhands-on Administration Executive
to manage the day-to-day administrative operations of the office and provide support to the Director and management team when required.
The ideal candidate should be organised, dependable,comfortable handling a wide range of administrative responsibilities, and willing to work outside normal office hours (when required).
Key Responsibilities
Manage the day-to-day administration and operations of the office.
Handle general office administration, including office supplies, facilities, records, documents, and administrative matters.
Manage and maintain
company vehicles
, including servicing, inspections, insurance, road tax, parking, and other related matters.
Coordinate and assist with
visa applications, work passes, Employment Pass applications, renewals, and related documentation
for employees and business associates.
Liaise with relevant government agencies, service providers, vendors, and external parties on administrative matters.
Provide administrative and logistical support to the Director and management team.
Arrange transportation, appointments, meetings, travel, and other logistical requirements when needed.
Be prepared to travel with the Director (upon request).
Drive the Director and management team (upon request)
Assist with ad-hoc administrative, operational, and personal support tasks related to business requirements.
Maintain confidentiality when handling company, employee, and management information.
Ensure administrative matters are followed up promptly and completed accurately
Requirements
Minimum
2–3 years of relevant administration, office management, or executive support experience
.
Valid Singapore Class 3A driving licence
with a good driving record.
Comfortable and confident driving in Singapore.
Willing and able to travel with the Director when required.
Good organisational and time-management skills.
Responsible, reliable, proactive, and able to work independently.
Good communication and interpersonal skills.
Proficient in Microsoft Office / Google Workspace and general administrative systems.
Able to handle confidential information with discretion.
Mandarin-speaking candidates are preferred
, as the role requires communication and liaison with clients, suppliers, and business partners in China
Candidates with experience handling
MOM work passes, Employment Pass applications, visa applications, or government-related administrative processes
will have an advantage.
