Job Description

Responsibilities

The Procurement Executive manages end-to-end sourcing, purchasing, and vendor relationships for the school. This role ensures all academic departments, administrative offices, and facility teams receive high-quality goods and services on time while optimizing operational costs and adhering to educational standards and compliance policies.


Key Responsibilities

  • Purchasing & Operations: Process Purchase Requisitions (PRs) and Purchase Orders (POs) for academic resources, IT hardware/software, lab equipment, furniture, and facility maintenance supplies.
  • Vendor & Supplier Management: Identify, evaluate, and maintain a robust database of qualified suppliers. Negotiate pricing, credit terms, and service level agreements (SLAs) to secure optimal value.
  • Tender & Bid Evaluation: Assist in managing competitive bidding, RFQs, and RFPs for major school contracts (e.g., catering, school transport, security, cleaning, uniforms, and textbooks).
  • Cross-Departmental Support: Work closely with Academic Heads, IT, and Facilities teams to understand procurement needs, clarify technical specifications, and ensure alignment with budget cycles.
  • Budget & Cost Control: Monitor procurement spending against department budgets, identify cost-saving opportunities, and provide periodic expense tracking reports to Finance.
  • Inventory & Asset Control: Coordinate with storekeepers or facility staff to monitor stock levels, manage asset tagging, and ensure proper record-keeping for incoming deliveries.
  • Compliance & Ethics: Ensure all purchasing activities comply with school governance policies, local import/export regulations (for imported educational materials), and ethical sourcing standards.


Requirements & Qualifications

  • Experience: 2–5 years of progressive experience in procurement, purchasing, or supply chain roles (prior experience in an educational institution or multinational corporate setting is highly preferred).
  • Education: Bachelor’s degree in Business Administration, Supply Chain Management, Logistics, Finance, or a related field.
  • Technical Skills: Proficiency in ERP systems (e.g., SAP, Oracle, NetSuite) and strong advanced Excel skills for data analysis.
  • Language & Communication: Excellent verbal and written communication skills in English; ability to negotiate firmly yet professionally with suppliers and internal stakeholders.
  • Soft Skills: Strong analytical thinking, attention to detail, high ethical standards, and the ability to multitask in a fast-paced environment with strict deadlines.
