About the Role
We are seeking a professional and personable
Receptionist / Office Administrator
to join our Administration & Facilities team in Singapore.
As the first point of contact for the office, you will play an important role in creating a welcoming, professional environment for employees, visitors, clients, and candidates. Alongside front-of-house responsibilities, you will provide administrative and facilities support to ensure the office operates smoothly and efficiently.
This role would suit someone who is highly organised, service-oriented, proactive, and comfortable working in a fast-paced professional environment.
Key Responsibilities
Serve as the primary front-desk contact, welcoming guests, clients, candidates, and other visitors in a professional and friendly manner.
Manage incoming calls, correspondence, mail, and deliveries.
Coordinate meeting room bookings, room setup, hospitality, and visitor arrangements.
Maintain the presentation and day-to-day functionality of reception, pantry, lounge, wellness, and other common areas.
Monitor office supplies and coordinate replenishment as required.
Provide general administrative support, including processing expenses, preparing documents and meeting materials, and coordinating travel arrangements.
Liaise with building management, service providers, and external vendors regarding maintenance and facilities matters.
Support office access arrangements and onboarding activities for new employees and visitors.
Assist with office events, meetings, and employee activities.
Provide additional administrative and operational support to the wider team as required.
Handle confidential information and sensitive matters with appropriate discretion and professionalism.
Requirements
Minimum
3 years of experience
in reception, office administration, hospitality, customer service, or a similar client-facing role.
Excellent verbal and written communication skills.
Warm, polished, and professional manner with strong interpersonal skills.
Strong organisational skills and attention to detail.
Proficiency in
Microsoft Outlook, Word, and Excel
.
Comfortable learning and using emerging digital and AI-enabled workplace tools.
Proactive, flexible, and able to manage multiple priorities in a changing environment.
Strong judgement and discretion when dealing with confidential information and senior or high-profile visitors.
Ability to work collaboratively with colleagues across different teams and functions.
Preferred Experience
Experience in one or more of the following environments would be advantageous:
Professional services
Financial services or private banking
Hospitality
Legal or professional services firms
Corporate office administration
Experience coordinating
travel, expenses, meeting schedules, visitors, or facilities
would also be beneficial.
Mandarin proficiency is desirable
, particularly for working with Mandarin-speaking colleagues and stakeholders across the region.
