JOB RESPONSIBILITIES:
1. FINANCIAL RETURNS

Develop deep understanding and knowledge of key sectors targeted by the hotel, and gain sectorial/ account expertise when necessary to maximise lead conversion rates.

Ensure the timely follow‑up and pursuit of business with customer leads to drive the highest levels of conversion.

Conduct and/ or assist the Sales team in the customer negotiation process.

Conduct proposal negotiation processes.

Handle the contract signing process.

Negotiate optimum room rates and contract terms in alignment with hotel yield and sales strategies to maximise revenue.

2. PEOPLE

Team up with counterpart Catering staff to deliver sector/customer‑specific services when appropriate.

Communicate to his/her superior any issues encountered and other relevant information.

3. GUEST EXPERIENCE

Process customer inquiries in accordance with specified service standards.

Develop and deliver relevant documentation to the customer.

Prepare and deliver site inspections for potential customers (when necessary).

Lead pre‑event client briefings, site tours, and post‑event follow‑ups to collect feedback, address operational needs, and secure repeat business.

4. RESPONSIBLE BUSINESS

Prepare and submit proposals.

Ensure accurate and timely updating of a record of all relevant activities and customer information in the provided Sales System (e.g., Delphi, Opera, etc.) for future reference and control purposes.

Enforce strict payment compliance by tracking billing terms and securing full prepayment before group check‑in.

Draft and distribute comprehensive Group Instructions (GIs) to clearly communicate guest requirements, VIP protocols, and group specs across all operational departments.

Collaborate closely with Front Office, Housekeeping, and F&B teams to execute seamless group check‑in procedures and resolve real‑time requests.

Partner with Catering and Front Office to consolidate event charges, deliver accurate Master Invoices, and facilitate post‑event settlement.

5. GROUP & ONLINE PLATFORM MANAGEMENT

Efficiently manage and respond to group leads and RFPs across online booking platforms, including Cvent, MeetingBroker, HotelPlanner, Groups360, HelmsBriscoe, 1000Meetings, Huixiaoer, Hotel Gor Gor, and others.

Maintain up‑to‑date property profiles, promotions, and availability across digital sales channels to maximise booking conversion.

Refer cross‑property sales lead within the InterContinental Hotels Group (IHG) network (IHG LeadShare) and promote brand awareness in the local market.

6. COMPLIANCE & PROFESSIONAL DEVELOPMENT

Ensure strict adherence to safety, security, and sustainability guidelines while championing eco‑friendly meeting practices.

Actively participate in daily operational briefings, skill‑development trainings, and interdepartmental alignment meetings.

JOB REQUIREMENTS:
​​​​Degree or Diploma, and 2 – 5 years of relevant experience in customer relations in Hospitality or a related service industry. Type and level of experience required may vary slightly based on size and complexity of operation.

Expected to possess the following skills:
Good communication and negotiation skills.

Ability to take initiative, meet deadlines and commitments, and complete tasks and projects as required.

Strong organisational skills required to maintain electronic and paper filing systems.

Maintain a high level of knowledge pertaining to policy and procedure and communicate knowledge effectively to all personnel when applicable.

Demonstrates clear and effective verbal and written skills for the purpose of obtaining and conveying information to clients, technicians, management and team members, as well as producing reports.

Excellent PC skills (including MS Office).

Familiarity with online booking platforms (e.g., Cvent, MeetingBroker, Delphi, Opera) is an advantage.
