Job Summary
We are looking for a responsible and hands-on HR Executive to manage and support the company’s day-to-day human resources operations. The successful candidate will be responsible for HR administration, recruitment, payroll coordination, employee relations, statutory matters, foreign worker management, attendance and leave administration, and maintaining proper HR documentation.
The candidate should be able to work independently, handle confidential employee information professionally, and coordinate effectively with management, employees, government agencies, and external service providers.
Key Responsibilities
1. HR Administration & Employee Records
Manage and maintain accurate employee records, personal files, HR databases and documentation.
Prepare employment letters, confirmation letters, warning letters, show-cause letters, resignation documentation and other HR correspondence.
Monitor probation, confirmation, contract renewal and employee movement.
Maintain and update HR policies, procedures, forms and SOPs.
2. Recruitment & Manpower Planning
Manage the end-to-end recruitment process from job posting to onboarding.
Prepare job descriptions and job advertisements.
Source candidates through Indeed, MyFutureJobs, social media and other recruitment platforms.
Screen resumes, conduct interviews and coordinate interview arrangements with management.
Prepare offer letters and employment documentation.
Coordinate new employee onboarding and orientation.
Monitor manpower requirements and recruitment progress for different departments and projects.
3. Payroll & Attendance
Coordinate monthly payroll preparation and verify attendance, overtime, allowances, deductions, unpaid leave and other payroll-related information.
Monitor lateness, absenteeism, overtime and working hours.
Ensure payroll information is properly documented and submitted within the required timeline.
Handle employee queries related to payroll matters.
4. Statutory & Government Matters
Handle and coordinate HR-related statutory matters with relevant government agencies.
Draft and submit contributions of EPF, SOCSO, EIS, PCB/LHDN and other statutory requirements.
Prepare and maintain relevant statutory documentation and submissions.
Coordinate matters involving JTK, JTKSM, PERKESO, EPF, LHDN, HRD Corp and other relevant authorities when required.
5. Foreign Worker Management
Manage foreign worker-related HR administration, documentation and renewals.
Coordinate matters involving FWCMS, eVDR, PLKS, Special Pass, COM, FOMEMA, immigration and other relevant processes.
Assist with foreign worker quota, labour licence and related applications.
Coordinate foreign worker transfers, permit renewals and immigration documentation.
Maintain accurate records of foreign workers and expiry dates.
Liaise with agents, government agencies and internal management on foreign worker matters.
6. Leave & Attendance Management
Monitor employee leave applications and attendance records.
Verify annual leave, medical leave, unpaid leave and other leave applications.
7. Accommodation & Foreign Worker Welfare
Coordinate employee accommodation matters where required.
Assist with accommodation documentation, licensing and compliance requirements.
8. HRD Corp & Training
Coordinate employee training and development activities.
Assist with HRD Corp registration, training arrangements and grant/claim applications.
10. HR Reporting & Documentation
Prepare HR reports, manpower reports, attendance reports and other management reports.
Maintain proper HR trackers for recruitment, employee movement, foreign workers, permits, training and other HR activities.
Prepare HR documentation and reports for management review.
11. Branch & Interstate HR Operations
Travel between Penang and Sarawak approximately once every 3 months for branch visits and HR operational matters.
Conduct on-site HR and administrative checks at the Sarawak branch.
Coordinate with branch management and employees on HR matters, attendance, employee records, accommodation and general HR operations.
Be willing to travel interstate when required for HR operations, government/immigration matters and branch support.
Job Requirements
Degree in Human Resources Management, Business Administration or a related field.
Minimum 2–4 years of relevant HR experience.

Pay: RM3,000.00 - RM3,500.00 per month
