About Eventizer

Eventizer is a growing retail event organiser in Singapore, specialising in shopping mall atrium events, themed fairs, roadshows and pop-up markets. We work with shopping malls, brands and vendors to create engaging retail experiences and help businesses grow through offline event opportunities.

About the Role

We are looking for an organised, proactive and detail-oriented Event Admin & Accounts Coordinator to support our event administration, accounts, marketing and vendor development activities. Working closely with our Event Sales Executives, you will help keep events, financial records and administrative processes organised, while supporting social media content, vendor research and initial outreach. This role is ideal for someone who enjoys varied responsibilities and wants hands-on exposure to event management, accounting, marketing and business development in a fast-paced environment.

Key Responsibilities

1. Event Administration and related support

• Prepare event contracts, quotations and related documents.

• Coordinate vendor onboarding information, setup requirements and supporting documents.

• Apply for and obtain permits to work, licences, insurance and other event-related documents prior to event commencement.

• Prepare and coordinate event logistics, printing and event materials.

• Maintain event schedules, calendars, vendor and venue databases, floor plans, P&L records and event files.

• Research and identify suitable vendors through social media, AI tools, online research and physical events, and support initial outreach to prospective vendors.

• Direct qualified vendor leads and sales-related enquiries to the relevant Event Sales Executive.

• Provide marketing and social media support by creating event-related content across relevant platforms.

• Coordinate with external content creators for event marketing support.

• Perform other relevant duties as assigned from time to time.

2. Accounts & Finance Support

• Prepare invoices, track payments and update payment records in the event schedule and Xero.

• Maintain event sales and revenue records to support sales performance tracking.

• Maintain up-to-date records of security deposits and venue booking payments.

• Assist with bookkeeping, bank reconciliation and documents for the external accountant.

• Assist with other related accounts matters.

Requirements

• At least 2 years of relevant experience in retail events, preferably involving event administration, vendor onboarding, accounts support, marketing or sales support.

• Diploma or equivalent.

• Strong working knowledge of Microsoft Excel, with proficiency in Microsoft Word and Outlook.

• Familiar with Xero accounting software and Canva for basic content and marketing material creation.

• Familiar with social media platforms such as Instagram, TikTok and REDnote (Xiaohongshu), with basic knowledge of content posting and platform usage.

• Comfortable using ChatGPT and other AI productivity tools for administrative, research and content-support tasks.

• Organised, responsible, detail-oriented, proactive and comfortable communicating with vendors by phone, email and social media.

Work Hours, Location & Leave

• 5.5-day work week / 44 hours per week.

• Mainly based at Kaki Bukit, with occasional work at event sites when required.

• 12 days annual leave plus 1 additional birthday leave.

Remuneration & Progression

Basic Salary

• SGD $2,500–$3,000 per month, commensurate with experience and capabilities
