Job Summary
Responsible for overseeing the day-to-day operation, maintenance and upkeep of the company’s facilities, ensuring that the premises, equipment and related services are maintained in a safe, functional and efficient condition.
Key Responsibilities
1. Facility & Building Management
- Oversee the daily operation and maintenance of office/building facilities.
- Conduct regular inspections to identify maintenance, safety and facility-related issues.
- Coordinate repairs and maintenance works to ensure issues are resolved promptly.
- Monitor the condition of common areas, office spaces, meeting rooms and other facilities.
- Ensure the workplace is clean, safe and properly maintained.
2. Maintenance & Vendor Management
- Coordinate with contractors, suppliers and service providers for maintenance and repair works.
- Obtain quotations and assist in evaluating vendors where required.
- Monitor contractors’ work and ensure services are delivered according to agreed requirements.
- Maintain records of maintenance contracts, service schedules and vendor information.
- Follow up on outstanding repair and maintenance matters.
3. Safety & Compliance
- Assist in ensuring the premises comply with relevant safety, health and building requirements.
- Coordinate periodic inspections, servicing and testing of relevant equipment and systems.
- Maintain records of inspections, certificates, licences and maintenance activities.
- Assist in emergency preparedness, fire safety and evacuation arrangements.
4. Utilities & Cost Monitoring
- Monitor electricity, water, waste management and other facility-related expenses.
- Identify opportunities to improve operational efficiency and reduce unnecessary costs.
- Assist in monitoring facility-related budgets and expenditures.
5. Office & Operational Support
- Coordinate office renovation, relocation, space planning and facility improvement projects when required.
- Manage office furniture, equipment and facility-related assets.
- Respond to employees’ facility-related requests and coordinate necessary actions.
- Support company events and other operational activities involving facilities.
6. Documentation & Reporting
- Maintain proper records of maintenance activities, service contracts, quotations and invoices.
- Prepare regular reports on facility conditions, maintenance issues and ongoing projects.
- Maintain preventive maintenance schedules and ensure timely follow-up.
Requirements
- Diploma/Degree in Facilities Management, Property Management, Business Administration, Engineering or a related field.
- Relevant experience in facilities, building management, administration or operations is an advantage.
- Good communication, coordination and problem-solving skills.
- Able to coordinate with contractors, suppliers and internal departments.
- Good organisational and time-management skills.
- Able to work independently and handle multiple tasks.
- Basic knowledge of workplace safety, building maintenance and facility operations.
- Proficient in Microsoft Office and relevant administrative systems.

Job Types: Full-time, Permanent
Pay: RM2,500.00 - RM3,500.00 per month
