Responsibilities

In-house Support Administrator – ASYS Group Asia Pte Ltd

ASYS Group is a leading German manufacturer of innovative automation equipment, with a robust globalpresence through regional offices and sales networks worldwide. We areexpanding our dynamic Asia team and are seeking a dedicated In-house Support Administrator to assist with daily operations in our Singapore office.

Compensation & Location

  • Position: In-house Support Administrator
  • Location: Singapore
  • Salary Range: SGD 2800 - 3,100 per month
  • Industry: Automation Technology / Engineering

Roles & Responsibilities

  • Sales & Service Support: Generate quotations for machines, spare parts, and service jobs.
  • Order & Shipping Coordination: Process orders and generate Order Confirmations. Follow up with delivery, prepare shipping documents (delivery notes and invoices), and coordinate shipping smoothly between Germany HQ and customers.
  • Billing & Finance Coordination: Issue and send out billing invoices to customers and internal finance department.
  • Team Administration: Perform general administrative duties for the Sales and Service teams to support day-to-day activities, logistics operations, and overall team coordination.
  • Ad-hoc Tasks: Carry out assignments and special projects as directed by the Manager.

Job Requirements & Skills

  • Experience: Prior experience in shipping coordination, delivery administration, sales support, operations support, or a similar administrative role is preferred.
  • Technical Skills: Comfortable working with CRM systems and highly proficient in Microsoft Office applications.
  • Organization & Detail: Strong attention to detail with the ability to maintain accurate records, delivery documentation, and system updates. Excellent time management to handle daily delivery activities and multiple administrative requests.
  • Communication: Strong communication and coordination skills to work effectively with internal teams, courier partners, Finance, and Sales Support teams.
  • Mindset: Proactive, process-oriented, and willing to support system improvements and operational efficiency.

Qualifications

  • Education: Diploma in Business Administration, or an equivalent qualification.
  • Alternative: 2 to 3 years of hands-on experience in administrative or engineering environment.
