Responsibilities

About the Role

We are looking for a proactive and organised HR & Admin Senior Executive to support day-to-day HR operations and office administration. This role is ideal for someone with hands-on experience in HR operations who is comfortable managing multiple priorities in a fast-paced environment.

Key Responsibilities

HR Operations

  • Coordinate recruitment, interview scheduling, onboarding and offboarding activities.

  • Maintain and update employee records, probation tracking and performance documentation.

  • Coordinate with external recruitment agencies and BPO providers on candidate and employee-related matters.

  • Consolidate monthly payroll inputs including leave, medical claims, allowances and other variable components.

  • Assist with employee engagement activities and handle day-to-day staff enquiries.

HR Compliance & Administration

  • Support HR processes in line with Malaysian employment regulations and company policies.

  • Track HR-related invoices, agency charges, statutory payments and other administrative expenses.

  • Maintain accurate HR records, reports and documentation.

  • Support regional HR initiatives, headcount reporting and cross-border requests.

Office & Facilities Administration

  • Oversee day-to-day office administration, supplies and facilities maintenance.

  • Coordinate with office vendors, IT suppliers, property management and maintenance contractors.

  • Support procurement, office supplies, repairs and general administrative requirements.

  • Maintain proper records for procurement, invoices and office administration.

Requirements
  • Bachelor's Degree in Human Resources, Business Administration or a related field.

  • Approximately 4 years of relevant experience in HR and office administration.

  • Hands-on experience in HR operations, employee lifecycle management, payroll coordination and administration.

  • Good understanding of Malaysian employment practices and basic employment regulations.

  • Strong organisational skills with good attention to detail.

  • Good communication and interpersonal skills, with the ability to work with employees at different levels.

  • Able to manage multiple priorities and work independently in a fast-paced environment.

  • Proactive, responsible and detail-oriented.
