Job Summary
We are seeking a detail-oriented and organised Assistant Project Coordinator to support the planning and coordination of projects involving the manufacturing, supply, and installation of timber doors and other wood-based products.
The successful candidate will work closely with Project Managers, production teams, suppliers, installers, contractors, and clients to ensure projects are delivered according to schedule, specifications, and quality requirements.
Key Responsibilities
- Assist Project Managers with the planning, coordination, and execution of timber door and wood product projects.
- Follow up on project schedules, production timelines, delivery arrangements, and installation progress.
- Coordinate with internal production teams to ensure products are manufactured according to approved drawings and project specifications.
- Liaise with suppliers, contractors, installers, and site teams regarding project requirements and schedules.
- Prepare, organise, and maintain project documents, records, drawings, quotations, purchase orders, and delivery documentation.
- Assist in coordinating material submissions, shop drawings, samples, and product specifications for project approval.
- Monitor project progress and provide regular updates to the Project Manager and relevant stakeholders.
- Arrange and coordinate deliveries of timber doors and wood-based products to project sites.
- Assist with installation scheduling and coordinate with site personnel to ensure smooth installation works.
- Follow up on outstanding project matters, site requirements, defects, and rectification works.
- Maintain accurate project trackers and update records on production, delivery, installation, and completion status.
- Assist with preparing project reports, progress updates, and meeting documentation.
- Support communication between the office, factory, warehouse, project sites, and external parties.
- Ensure project documentation and administrative tasks are completed accurately and on time.
- Perform other project coordination and administrative duties as assigned by the management.
Requirements
- Diploma or relevant qualification in Construction, Building, Project Management, Business Administration, or a related field is preferred.
- 1–3 years of experience in project coordination, construction, manufacturing, building materials, or a related industry is preferred.
- Candidates with relevant administrative or coordination experience are welcome to apply.
- Experience with timber products, doors, carpentry, interior fit-out, or construction projects will be an advantage.
- Good organisational and time management skills.
- Strong communication and coordination skills.
- Good attention to detail with the ability to manage multiple tasks and deadlines.
- Comfortable communicating with suppliers, contractors, production teams, and site personnel.
- Proficient in Microsoft Office applications, particularly Excel, Word, and Outlook.
- Able to work independently and as part of a team.
- Willing to coordinate with project sites and attend site meetings when required.
- Responsible, proactive, and willing to learn.
