About the role
The HR Assistant is responsible for supporting the day-to-day Human Resources operations, including recruitment, employee records, attendance and leave administration, payroll preparation, training coordination, employee documentation, and general HR administrative matters. The role ensures that HR records and processes are properly maintained, accurate, and completed within the required timeline.
Key responsibilities
Assist in the end-to-end recruitment process for vacant positions, including preparing and publishing job advertisements, screening resumes, shortlisting candidates, coordinating interviews, and preparing offer letters
Prepare onboarding documents and employee files for new employees, ensure completion of required employment forms, and coordinate employee orientation
Monitor daily employee attendance, lateness, absenteeism, and working hours; maintain and update employee leave records
Assist in processing Annual Leave, Medical Leave, Unpaid Leave, Emergency Leave, and other leave applications
Prepare and compile monthly payroll information and verify attendance, overtime, allowances, commissions, and other payroll-related information
Create and maintain complete employee personnel files and prepare HR documents such as employment letters, confirmation letters, warning letters, and transfer letters
Assist in identifying and coordinating employee training requirements, prepare training schedules, and maintain individual employee training records
Assist in coordinating employee performance reviews and maintain KPI and performance evaluation records
Attend to general employee enquiries regarding HR policies, leave, attendance, benefits, and procedures
Prepare and update HR reports including headcount, attendance, leave, recruitment status, and training records
About you
Diploma or Bachelor's Degree in Human Resources, Business Administration, Management, or a related field
Minimum 1 year of experience in HR field
Basic knowledge of Malaysian employment practices and labour regulations
Proficient in Microsoft Office, particularly Microsoft Excel and Word
Experience using HRMS or payroll systems is an advantage
Good organisational and administrative skills
Strong attention to detail and accuracy
Good written and verbal communication skills in Bahasa Malaysia and English
Able to handle confidential information professionally
Able to work independently and manage multiple tasks within deadlines
