Role Description This is a full-time, remote Executive Secretary role supporting Insight Genesis – IGAi’s leadership team. The Executive Secretary will manage calendars, schedule meetings, coordinate virtual and in-person appointments, and organize travel arrangements as needed. Daily responsibilities include preparing and formatting documents, reports, and presentations, maintaining digital filing systems, and ensuring timely handling of correspondence such as emails and messages. The role also involves supporting company secretarial activities, drafting minutes, tracking action items, and assisting with internal and external communications. The Executive Secretary will collaborate closely with cross-functional teams, provide responsive customer and stakeholder service, and uphold confidentiality and professionalism in all interactions.

  • Strong clerical skills, including document preparation, data entry, filing, and calendar management.
  • Excellent communication skills, both written and verbal, with the ability to interact clearly and professionally with diverse stakeholders.
  • Experience with company secretarial work, such as preparing meeting agendas, taking minutes, and maintaining records.
  • Proven executive administrative assistance experience, including supporting senior leadership and managing multiple priorities.
  • Customer service skills to handle inquiries, resolve issues, and represent the organization in a courteous, solution-focused manner.
  • Proficiency with productivity and collaboration tools (e.g., Microsoft Office or Google Workspace, online scheduling platforms, video conferencing tools).
  • Strong organizational and time-management abilities, with attention to detail and the capacity to work independently in a remote setting.
  • High level of integrity and discretion in handling confidential information.
  • Relevant diploma or degree in business administration, office management, or a related field; prior experience in a tech or AI-driven organization is an advantage.
