Accounts Executive – Full Set of Accounts

1. POSITION SUMMARY
The Accounts Executive is responsible for managing the full set of accounts and ensuring that all accounting transactions are accurately recorded, properly supported, and completed within the required reporting timelines.
The role will handle day-to-day accounting operations, including Accounts Payable, Accounts Receivable,
General Ledger, bank reconciliation, month-end closing, financial reporting, cash flow monitoring and audit/tax support.
The successful candidate should be able to work independently, maintain accurate accounting records, and ensure compliance with company policies and applicable accounting and statutory requirements.
2. KEY RESPONSIBILITIES
A. Full Set of Accounts
- Maintain the complete set of accounting records for the assigned company/entities.
- Record and review all accounting transactions accurately and on a timely basis.
- Maintain the General Ledger and ensure proper account classification.
- Prepare and post journal entries, accruals, prepayments, and adjustments.
- Perform monthly closing of accounts.
- Ensure all balance sheet accounts are properly reconciled and supported.
- Prepare monthly Trial Balance and financial schedules.
- Identify and resolve accounting discrepancies and unusual transactions.
B. Accounts Payable
- Process supplier invoices, credit notes and payment documentation.
- Verify invoices against supporting documents, purchase orders and approvals.
- Maintain supplier accounts and ensure balances are accurate.
- Prepare supplier payment schedules and payment requests.
- Perform supplier statement reconciliation.
- Monitor outstanding payables and payment due dates.
C. Accounts Receivable
- Prepare and issue customer invoices and credit notes.
- Maintain customer accounts and accurately allocate receipts.
- Monitor outstanding receivables and overdue balances.
- Perform customer statement reconciliation.
- Follow up with relevant departments/customers on outstanding payments.
- Prepare the monthly Accounts Receivable ageing report.
D. Bank & Cash Management
- Perform monthly bank reconciliations for all bank accounts.
- Investigate and clear unreconciled transactions promptly.
- Maintain cash and bank records accurately.
- Monitor bank balances and upcoming payments.
- Assist in preparing cash flow forecasts and cash flow reports.
E. Month-End & Management Reporting
- Assist in month-end closing within the required deadline.
- Prepare monthly Profit & Loss and Balance Sheet schedules.
- Prepare supporting schedules for management reporting.
- Assist in preparing revenue, expense and variance analysis.
- Provide financial information and analysis requested by the Finance Manager / GM Finance.
- Ensure financial data is complete and accurate before management reporting.
F. Tax, SST & Statutory Matters
- Assist in preparation of information required for corporate tax computation.
- Assist with SST submissions and supporting schedules where applicable.
- Maintain proper documentation for tax and statutory purposes.
- Assist tax agents, auditors and other external advisers with requested information.
- Ensure accounting records and supporting documents are properly maintained.
G. Audit & Compliance
- Prepare audit schedules and supporting documents.
- Liaise with external auditors and provide requested information.
- Assist with year-end audit and financial statement preparation.
- Maintain proper filing and documentation of accounting records.
- Ensure transactions comply with company policies and internal controls.
- Highlight accounting issues, control weaknesses or unusual transactions to management.
H. Payroll & HR Accounting Support
- Assist with payroll accounting and payroll-related journal entries.
- Reconcile payroll records with the General Ledger.
- Ensure statutory payroll-related transactions are properly recorded.
- Assist HR/Payroll with reconciliation of employee-related payments where required.
I. Fixed Assets & Other Accounting Matters
- Maintain the fixed asset register.
- Record additions, disposals, and depreciation of fixed assets.
- Perform periodic reconciliation of the fixed asset register to the General Ledger.
- Assist with inventory/stock accounting and reconciliation where applicable.
- Prepare other financial schedules and analysis as assigned.
3. INTERNAL CONTROL RESPONSIBILITIES
- Ensure all accounting entries have appropriate supporting documentation and approvals.
- Monitor unusual or abnormal transactions and report them to the Finance Manager.
- Ensure proper segregation of duties and adherence to finance procedures.
- Maintain confidentiality of financial and company information.
- Ensure accounting records are complete, accurate, and properly filed.
4. REQUIREMENTS
Education
- Diploma or Degree in Accounting, Finance, Commerce or a related discipline.
- Professional accounting qualifications such as ACCA, CAT, CIMA or MIA will be an advantage.
Experience
- Minimum 3–5 years of relevant accounting experience.
- Experience handling a full set of accounts is required.
- Experience in a service, construction, facilities management, cleaning or project-based environment will be an advantage.
- Experience dealing with auditors, tax agents and statutory matters is preferred.
Technical Skills
- Strong knowledge of double-entry accounting and accounting principles.
- Good knowledge of AP, AR, GL and month-end closing.
- Strong Excel skills, including Pivot Tables, VLOOKUP/XLOOKUP and basic financial analysis.
- Experience with accounting software such as SQL Accounting will be an advantage.
- Good understanding of Malaysian accounting and statutory requirements.

7. AUTHORITY & REPORTING
- The Accounts Executive reports directly to the Finance Manager / General Manager – Finance and is responsible for ensuring that all assigned accounting functions are completed accurately and within the required deadlines.
- The position is expected to work closely with Finance, HR & Payroll, Operations, Procurement, Sales and Management to ensure accurate and timely financial information.
