Job Description
We are looking for a detail-oriented and proactive HR Assistant to support day-to-day HR administration, employee documentation, onboarding and HR-related payment verification.
The successful candidate should be organized, accurate and comfortable working in a fast-paced operational environment. This role also provides opportunities to take on broader HR coordination responsibilities overtime.
Key Responsibilities
- Assist with verification of employee reimbursements, allowances and expense claims against supporting documentation.
- Check supporting documents and approvals for completeness and accuracy before processing.
- Prepare onboarding checklists, employment documentation and orientation materials for new hires.
- Coordinate new hire start dates, equipment, system access and induction arrangements with relevant departments.
- Maintain accurate and confidential employee records and documentation.
- Support leave, medical certificate and general HR administration.
- Assist with relevant employment-related submissions and correspondence as directed.
- Maintain organized and audit-ready HR documentation.
- Follow up promptly on incomplete or missing documentation.
- Respond to HR-related queries from employees and internal departments.
- Participate in HR process improvement and documentation-standardization initiatives.
- Provide additional support during peak recruitment, onboarding or documentation periods when required.
Requirements
- O-Level or Diploma in Human Resources, Business Administration or a related field.
- 1–2 years of HR administration or similar support experience preferred.
- Experience in a logistics or operations-driven environment is advantageous.
- Good knowledge of basic HR administration.
- Proficient in Excel or Google Sheets.
- Strong attention to detail and documentation accuracy.
- Good organizational and time-management skills.
- Good communication and coordination skills.
- Able to handle confidential information appropriately.
- Proactive, responsible and able to work independently.
