Job Description

Responsibilities

Executive Support

  • Manage the Vice-Chancellor's daily schedule, appointments, meetings, and official engagements.
  • Prioritise commitments and ensure efficient time management aligned with the University's strategic priorities.
  • Coordinate domestic and international travel arrangements, including itineraries, accommodation, transportation, and briefing materials.
  • Screen and prioritise correspondence, invitations, and requests received by the Vice-Chancellor.

Strategic Planning & Advisory Support

  • Review invitations and recommend functions, conferences, seminars, industry events, and official engagements that align with the University's strategic direction.
  • Conduct background research and prepare briefing notes to support the Vice-Chancellor's participation in meetings and events.
  • Monitor developments in higher education, government policies, industry trends, and partnership opportunities, providing timely updates and recommendations.
  • Assist in tracking strategic initiatives and follow up on action items arising from executive meetings.

Meeting Coordination

  • Organise and coordinate meetings chaired by or involving the Vice-Chancellor.
  • Prepare meeting agendas, presentation materials, briefing papers, and supporting documents.
  • Attend meetings to record accurate minutes, key decisions, and action items.
  • Monitor and follow up on action plans to ensure timely completion by relevant departments.

Presentation & Documentation

  • Prepare professional presentations, speeches, talking points, reports, and briefing documents for the Vice-Chancellor.
  • Compile data, analyse information, and produce executive summaries for decision-making.
  • Ensure all presentation materials are accurate, visually appealing, and delivered within agreed timelines.

Qualifications:

  • Bachelor's Degree in Business Administration, Management, Public Administration, Corporate Communications, International Relations, or a related discipline.
  • A Master's degree is an added advantage.

Experience

  • Minimum 5 years of experience in executive support, executive office management, corporate affairs, or a similar role supporting senior leadership.
  • Experience in higher education, government, multinational corporations, or large organisations is preferred.
  • Proven experience in coordinating executive meetings, preparing board papers, reports, and presentations.

Pay: RM4,000.00 - RM6,000.00 per month
