Summary
The Executive Assistant (EA) a person with highly organized, discreet, and proactive to support both our tender and procurement operations as well as the personal and professional needs of Top Management. This dual-role responsibilities requires excellent multitasking abilities, strong attention to detail, and the ability to handle confidential matters with professionalism. The ideal EA will ensure smooth coordination of business processes while also managing personal administrative tasks efficiently.
Key Responsibilities
1. Executive & Personal Assistant Support
- Provide full administrative support to Top Management (calendar, meetings, reports, correspondence)
- Prepare presentations, reports, and briefing materials
- Manage meeting schedules, take minutes, and follow up on action items
- Ensure tender and procurement processes comply with company policies and requirements
- Maintain organized filing systems (digital and physical) for both business and personal records
- Assist with documentation for audits, reporting, and internal reviews
- Handle confidential documents and sensitive information with discretion
- Act as a point of contact between Top Management and external parties (both professional and personal)
- Manage personal appointments, travel arrangements, and itineraries
- Assist with personal errands, scheduling, and lifestyle management tasks
- Coordinate family-related or private matters as required
2. Coordination & Communication
- Serve as a liaison between management, staff, vendors, and external stakeholders
- Ensure smooth communication flow and timely follow-ups
- Prioritize and manage multiple tasks across business and personal domains
3. Tender & Procurement Support
- Identify tender opportunities and assess competitor strategies.
- Coordinate and assist in the preparation, compilation, and submission of tender documents to ensure full compliance with procurement regulations and procedures.
- Interpret tender specifications, contribute technical input and track tender deadlines, requirements, and submission status
- Liaise with internal departments to gather necessary documentation and ensure compliance
- Maintain proper records of tenders, contracts, suppliers, procurement activities and review & analyze previous tenders to enhance future submissions.
- Stay updated on policy changes, adjust strategies accordingly and monitor order progress and follow up with vendors on delivery timelines
- Develop pricing models and highlight unique selling propositions.
- Prepare and present reports on tender performance and outcomes.
Any other duties and responsibilities as assigned by the Management from time to time.
Requirement & Qualifications
- Bachelor’s degree in Business Administration, Management, or related field
- 3–6 years of experience in executive support, procurement, or similar roles
- Proven experience handling confidential and sensitive mattersStrong organizational, multitasking, and time management skills
- Excellent written and verbal communication skills
- Proficient in Microsoft Office (Excel, Word, PowerPoint)
- Ability to work independently and under pressure
- Experience in tender submission or procurement processes.
- Experience supporting senior executives or C-level management
- Strong problem-solving skills and ability to anticipate needs

Pay: RM4,000.00 - RM5,000.00 per month
