Job Summary
The HR & Admin Assistant provides day-to-day support to the HR and Administration functions, ensuring smooth and efficient employee-related and office administrative operations. The role will assist with employee records, recruitment coordination, onboarding and offboarding, attendance and leave administration, documentation, office management, and general HR administrative matters.
The ideal candidate should be organized, responsible, detail-oriented, proactive, and able to handle confidential information professionally.
Key Responsibilities
A. HR Administration
- Maintain and update employee records, HR databases, personnel files, and related documentation.
- Assist with preparation and maintenance of employment contracts, HR letters, confirmation letters, transfer letters, and other employee documents.
- Support monthly payroll preparation by providing accurate attendance, leave, allowance, deduction, and other relevant information.
- Ensure HR documents are properly filed and maintained in accordance with company procedures and confidentiality requirements.
- Assist with implementation and communication of HR policies and procedures.
B. Recruitment Support
- Assist with the recruitment process, including job posting, candidate screening, interview scheduling, and candidate communication.
- Coordinate interviews between candidates and hiring managers.
- Maintain and update recruitment trackers and candidate records.
- Support new employee onboarding and ensure all required documents are completed.
C. Employee Lifecycle Support
- Coordinate employee onboarding, including documentation, system access, equipment, and orientation arrangements.
- Assist with employee offboarding, including resignation documentation, exit procedures, asset return, and clearance processes.
- Maintain accurate employee movement records and HR reports.
D. Office Administration
- Assist with daily office administration and ensure the office operates smoothly.
- Coordinate office supplies, equipment, stationery, and other administrative requirements.
- Assist with office maintenance, facilities, employee equipment, and general administrative matters.
- Support company events, meetings, staff activities, and other internal arrangements.
- Maintain proper records of administrative expenses, invoices, and related documents.
E. HR Reporting & Documentation
- Prepare regular HR and administrative reports as required.
- Assist in compiling headcount, recruitment, attendance, leave, turnover, and other HR-related data.
- Ensure HR and administrative records are accurate, complete, and up to date.
- Assist HR management with ad-hoc data collection, analysis, and reporting.
Requirements
Education & Experience
- Diploma or Bachelor's Degree in Human Resources, Business Administration, Management, or a related field.
- 1–3 years of experience in HR administration, office administration, or a related role.
- Fresh graduates with relevant internship experience may also be considered.
- Experience in a multinational, fast-paced, or financial services environment is an advantage.
- Good knowledge of Microsoft Office, particularly Excel, Word, and Outlook.
- Experience with HR systems or HRIS is an advantage.
