About the Role
The Assistant HR Manager will support the Senior Human Resources Manager – SG | MY Cluster in managing the day-to-day HR operations for Malaysia. The role covers a broad range of HR functions, including recruitment, compensation and benefits, employee relations and engagement, performance management, training and development, and the implementation of corporate HR initiatives. The successful candidate will be expected to work independently while providing hands-on support across the full employee lifecycle, including job postings, interview coordination, candidate engagement, onboarding, employee development, and HR reporting. In addition, the Assistant HR Manager will oversee the Administration Department and all related administrative activities, including office facilities and vendor management, to ensure smooth, efficient, and well-organized business operations.
Responsibilities
- Support the Senior Human Resources Manager – SG | MY Cluster in the end-to-end recruitment and selection process for Malaysia, including candidate sourcing, job advertising, application screening, interviewing, and shortlisting.
- Support the management of the full employee lifecycle, including employment contracts, onboarding and orientation, probation reviews, contract renewals, performance management, employee relations, and offboarding.
- Prepare regular HR reports and provide accurate HR data and insights to management.
- Administer employee compensation and benefits and ensure HR practices are aligned with applicable laws, regulations, and company policies.
- Maintain accurate and up-to-date employee records and HR databases on a monthly and quarterly basis.
- Support the annual performance appraisal process in accordance with corporate guidelines and timelines.
- Organize and coordinate employee training and development programs, staff engagement activities, and other HR initiatives.
- Provide guidance and support to employees on HR policies, procedures, benefits, and employment-related matters.
- Handle employee complaints and grievances professionally, fairly, and in accordance with established procedures and company policies.
- Conduct regular employee satisfaction surveys and provide recommendations to management based on employee feedback.
- Maintain strict confidentiality when handling employee and company information and demonstrate professionalism when dealing with employees and management at all levels.
- Assist the Senior Human Resources Manager – SG | MY Cluster in preparing and submitting staff notification forms and other required HR documentation to the regional team.
- Manage administrative matters relating to office premises, facilities, building management, and employee services.
- Oversee the Administration Department and manage administrative activities and vendor relationships to ensure smooth and efficient daily operations.
- Process payroll accurately and on a timely basis, ensuring compliance with all applicable statutory and regulatory requirements.
- Prepare, monitor, and manage the annual HR and Administration budgets, including tracking expenditure and identifying opportunities for cost efficiency.
- Support the implementation of regional and corporate HR policies, programs, and initiatives in Malaysia.
- Perform other HR and administrative duties as assigned by the Senior Human Resources Manager – SG | MY Cluster.
Qualifications
- Bachelor’s Degree or above, preferably in Human Resources, Business Administration, or a related field.
- Minimum 5 years of relevant HR generalist experience.
Required Skills
- Proficient in written and spoken English.

- Strong knowledge of local employment practices, labour laws, and Industrial Relations.
- Multi-country and cross-cultural experience are an added advantage.
