Responsibilities

Dynacle Transport (Dynacle Transportation and Workshop Pte. Ltd.) has over 10 years of experience providing independent transportation services across Singapore, including private functions, school excursions, and VIP meet-and-greet services. Our team is expanding and seeking new talent.

Job Summary

Support transportation operations by managing trip data, maintaining student records, coordinating communications with schools and customers, processing invoices, and performing office administration to ensure smooth service delivery.

Responsibilities

  • Enter trip details, driver information, and driver pay data into the company’s transport management system for fixed and ad-hoc school trips
  • Maintain and update student records, including enrolment, contact details, and transportation arrangements to ensure accurate data management
  • Send transport information and trip links promptly to schools and customers to facilitate smooth communication
  • Respond professionally and promptly to enquiries via email, calls, Whatsapp, and Sleekflow, ensuring effective communication with schools, parents, and customers
  • Liaise with school administrators and social workers on student transport matters such as subsidies and updates to student information
  • Issue and send invoices to schools and customers using XERO software in a timely manner to support billing processes
  • Follow up with parents and customers on outstanding payments and monitor payment status for school bus fees
  • Verify monthly supplier invoices and prepare them for payment processing to maintain financial accuracy
  • Manage general office administration tasks including mail collection, filing, preparing cash cards for bus drivers, reconciling cash card transactions, and monitoring office inventories such as diesel and workshop supplies
  • Provide administrative support to the operations team as needed to facilitate daily activities
  • Perform ad-hoc duties assigned by supervisors to support operational needs

Required competencies and certifications

  • Diploma in Business Administration or Management
  • At least 1 year of relevant experience in office administration support
  • Proficiency in Microsoft Office and basic office software

Preferred competencies and qualifications

  • Strong organizational skills demonstrated by managing multiple administrative tasks efficiently
  • Effective time management and attention to detail to ensure accuracy in data entry and invoice processing
  • Good written and verbal communication skills to maintain clear and professional interactions with stakeholders
