Operations Executive (Part-Time, Mostly Remote)
~15 hrs/week · SGD 800–1,000/month · Mostly remote, 1–2 in-person days a month · No fixed schedule · Judged on outcomes, not hours
The setup
We’re a small Singapore group running several operating businesses alongside a growing line of AI automation work for external clients.
We build our own internal systems: AI agents on Telegram and WhatsApp, a multi-entity ledger, staff and finance portals, and automations handling payment alerts, backups and scheduling. You’d be working directly with the founder.

A lot of this job is already automated, and we’d rather be upfront about it.
Bank reconciliation alerts, failed-payment chasing, membership expiry, payroll variance and service monitoring all run without a human. You will not be checking dashboards to see if things are working — the systems say so themselves, in Telegram, unprompted.
So this role is deliberately the part machines are bad at: judgement when the runbook runs out, conversations with real people, and one area we have not automated at all because a human has to gather it first.
If you want a job where you follow a checklist all day, this isn’t it — the checklist is already running.
What you’ll own
- Client response (the one that matters most). First point of contact for our external automation clients. Acknowledge, log, route, chase to closure. You own the response loop, not the technical fix — the founder handles that. Speed and clarity matter more than answers.
- Money conversations. Chase failed and overdue payments. Work the payment-review queue — a small share of card payments don’t reconcile and need a human to work out what was actually sold. The system tells you who and how much. It cannot have the conversation.
- Payroll preparation. Resolve the monthly variance exceptions, reconcile, prepare the voucher for founder review. You prepare. The founder approves and pays. Never both.
- Member lifecycle. Follow up expiring memberships, unconverted trials and lapsed members. We know exactly who they are — what’s missing is someone to message them.
- Service monitoring. Act on alerts per the runbook, escalate anything outside it with a clear write-up. Most weeks this is nothing. When it’s something, it matters a lot.
- Growth research (about 2 hrs/week, when the queue is clear). Build and qualify a prospect list. You research and qualify; the founder does the outreach.

No hours tracked. These are the commitments:
One honest caveat on “no fixed schedule”
Clients get a response within 2 working hours, so this needs you to check Telegram twice on weekdays — once morning, once mid-afternoon. Between and around those, your time is yours. Nothing is expected evenings or weekends. We’d rather say that up front than let you find out in week two.
We also meet in person once or twice a month, and you’ll occasionally join client sessions with the founder. Dates are agreed in advance around your availability, never dropped on you.
What this can become
Scoped tight to start, and priced for that scope. For the right person it expands into automation operations and broader portfolio work, with hours and pay reset at the 6-month mark. If you’re looking to grow into an operations lead role as the group scales, say so.
Pay: $800.00 - $1,000.00 per month
