Role Overview
- Position: Dental Clinic Receptionist / Patient Care Coordinator
- Department: Front Office / Administration
- Reports To: Practice Manager or Lead Dentist
Key Responsibilities
Patient Communication & Service
- Greet patients warmly and professionally as they arrive.
- Answer phone calls, emails, and WhatsApp/SMS messages promptly.
- Assist patients with filling out medical history and intake forms.
- Address patient inquiries regarding treatments, clinic hours, and basic procedures etc.
Appointment & Schedule Management
- Schedule, reschedule, and cancel appointments to optimize the dentist's daily calendar.
- Confirm upcoming visits via phone, email, or text reminders.
- Manage the waiting list and coordinate with clinical staff to minimize wait times.
Billing, Payments & Insurance
- Process payments via cash, credit card, or digital payment systems.
- Handle billing statements, co-payments, and basic financial logs.
- Submit insurance claims and verify patient coverage details.
Administrative & Clinic Support
- Maintain digital records, ensuring data privacy and patient confidentiality.
- Manage inventory of front office supplies and reorder as needed.
- Keep the reception lobby clean, orderly, and welcoming.
Requirements & Skills
- Experience: Previous receptionist, customer service, or healthcare administration experience preferred.
- Software Skills: Proficiency with dental practice management software and basic computer literacy (MS Office).
- Soft Skills: Strong interpersonal communication, patience, empathy, and organizational skills.
