Department: Human Resource & Administration
Designation: Senior Executive, Human Resource & Administration
Reporting To: Head of Human Resource & Safety (Corporate)
Location: Kuala Lumpur
Salary Range: RM4,000 per month
Principal Accountabilities
Payroll Administration
- Administer and coordinate monthly payroll processing for all employees.
- Ensure payroll processes comply with statutory, legal, and company requirements.
- Maintain accurate employee records and update payroll information in HR2000 and personnel files.
- Coordinate with plant HR representatives for payroll inputs and verification.
- Calculate and verify salary adjustments, allowances, overtime, deductions, claims, and employee benefits.
- Prepare monthly payroll reports for Management review.
- Liaise with Finance & Accounts Department on payroll-related matters.
- Ensure proper filing and confidentiality of payroll records and documents.
Statutory Compliance
Manage and coordinate statutory submissions and payments, including:
- EPF (KWSP)
- SOCSO (PERKESO)
- EIS
- PCB (LHDN)
- Other statutory requirements
- Ensure compliance with Malaysian employment laws and regulations.
- Monitor updates to labour legislation and statutory requirements and provide recommendations when necessary.
Training & Development
- Coordinate employee training and development activities.
- Identify and arrange suitable internal and external training programmes.
- Liaise with training providers on course arrangements and registrations.
- Manage HRD Corp (HRDF) matters, including levy administration, grant applications, claims submissions, and training records.
- Maintain employee training records and training matrices.
- Support annual performance appraisal activities and training needs analysis.
Recruitment & Employee Lifecycle Management
- Coordinate recruitment activities including job advertisements, candidate sourcing, interview arrangements, and onboarding activities.
- Manage employee confirmation, transfer, promotion, resignation, and termination processes.
- Conduct exit interviews and prepare related reports.
- Maintain employee personal files and HR documentation.
Employee Relations & Industrial Relations
- Assist in handling employee relations and disciplinary matters.
- Prepare HR correspondence including counselling records, warning letters, show-cause letters, and other HR documents.
- Liaise with relevant government agencies such as JTK and other authorities when required.
- Provide guidance and support on HR policies and procedures.
Insurance Administration
Administer company insurance matters, including:
- Group Hospitalisation & Surgical Insurance
- Personal Accident Insurance
- Medical Card administration
- Insurance claims submissions
- Liaise with insurance providers on employee enquiries and claims.
- Prepare and submit employee movement declarations for insurance coverage updates.
Expatriate Management
Coordinate expatriate employment matters, including:
- Employment Pass applications
- Renewals and cancellations
- Dependent Pass applications
- Professional Visit Pass applications
- Endorsement procedures
- Liaise with Immigration Department and relevant authorities on expatriate-related matters.
- Maintain expatriate records and ensure compliance with immigration requirements.
HR Administration & Compliance
- Support HR & Administration internal and external audit exercises.
- Maintain HR records and ensure proper documentation and filing practices.
- Ensure confidentiality of employee and company information.
- Support implementation and improvement of HR policies, procedures, and systems.
General Administration
- Assist in planning, organizing, and coordinating company events, employee engagement programmes, and corporate activities.
- Coordinate travel arrangements and booking requests for Management and Department Heads when required.
- Prepare Purchase Orders (POs) and administrative requisitions for HR & Administration-related purchases.
- Assist in office administration matters and support departmental operational requirements.
- Undertake ad hoc assignments and special projects as assigned by Management from time to time.
Qualification Required / Related Experience
- Diploma or Bachelor's Degree in Human Resource Management, Business Administration, Management, or related discipline.
- Minimum 3 to 5 years of experience in Human Resource & Administration functions.
- Experience in payroll administration, statutory compliance, recruitment, employee relations, and HR operations.
- Experience in manufacturing and/or Oil and Gas industry will be an added advantage.
- Exposure to HRD Corp (HRDF), insurance administration, and expatriate management is preferred.
Specific Knowledge / Skills
- Hands-on experience with HR2000 Payroll & HR System.
- Good knowledge of payroll processing and statutory requirements.
- Familiar with:
- EPF (KWSP)
- SOCSO (PERKESO)
- EIS
- PCB (LHDN)
- HRD Corp (HRDF) Levy, Grant & Claim processes
- Knowledge of Malaysian Employment Act and related labour regulations.
- Familiar with employment contract preparation and LHDN stamping procedures.
- Experience in training coordination and employee development programmes.
- Knowledge of recruitment and employee onboarding processes.
- Experience in managing insurance administration and employee claims.
- Familiar with expatriate and immigration processes.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- Good communication, interpersonal, organizational, and problem-solving skills.
- Able to work independently with minimum supervision.
- Possess a high level of integrity, confidentiality, and attention to detail.
Pay: RM3,500.00 - RM4,000.00 per month
