1) Recruitment & Onboarding
- Coordinate recruitment activities, including job advertisements, candidate screening, interview arrangements, and selection process.
- Prepare employment contracts, offer letters, and onboarding documentation.
- Conduct new employee orientation and induction programmes.
- Maintain recruitment records and employee files.
2) Employee Records & HR Administration
- Maintain accurate employee personal records and HR database.
- Prepare HR letters, confirmation letters, transfer letters, warning letters, and other employment documents.
- Monitor probation periods and coordinate employee confirmation.
- Manage attendance, leave records, and employee movements.
3) Payroll & Benefits Administration
- Verify attendance, overtime, leave, and payroll information before payroll processing.
- Coordinate monthly payroll with Finance or payroll service providers.
- Administer statutory contributions including EPF, SOCSO, EIS, PCB, and other employee benefits.
- Handle employee insurance and medical benefit administration.
4) Employee Relations
- Respond to employee enquiries regarding HR policies and employment matters.
- Support disciplinary investigations and grievance handling.
- Promote positive employee engagement and workplace communication.
- Assist in organising employee welfare activities and company events.
5) Training & Development
- Coordinate internal and external training programmes.
- Maintain employee training records and competency matrices.
- Assist in HRD Corp grant applications and claim submissions where applicable.
- Monitor mandatory training requirements.
6) Performance Management
- Coordinate annual performance appraisal exercises.
- Monitor KPI implementation and employee development plans.
- Prepare performance reports for management review.
7) Compliance & Labour Law
- Ensure compliance with the Employment Act 1955 and other applicable Malaysian labour legislation.
- Support internal and external audits related to HR compliance.
- Maintain HR policies, procedures, and employee handbook.
8) Foreign Worker & Expatriate Administration
- Coordinate work permit, Employment Pass, Professional Visit Pass (PVP), and related immigration matters.
- Liaise with government agencies including Immigration Department, ESD, JTKSM, PERKESO, MYFutureJobs, and HRD Corp.
- Maintain expatriate and foreign worker documentation.
9) Reporting
- Prepare monthly HR reports, including:
- Headcount
- Staff turnover
- Absenteeism
- Overtime
- Recruitment status
- Training records
- HR KPIs
10) Safety, Health & Employee Welfare
- Support the implementation and maintenance of the company’s Occupational Safety and Health policies, procedures, and programmes.
- Coordinate mandatory safety and health training, including induction, emergency response, PPE, and other relevant training.
- Maintain records of safety and health training, medical examinations, occupational health programmes, and related employee records.
- Assist in monitoring workplace safety and health requirements and follow up on identified corrective actions.
- Support the reporting, investigation, and documentation of workplace accidents, incidents, near misses, and occupational health cases.
- Coordinate with the Safety & Health Officer, Safety Committee, management, and relevant authorities on safety and health matters where applicable.
- Assist in organising emergency drills, health awareness programmes, first-aid activities, and employee wellness initiatives.
- Support compliance with applicable Malaysian Occupational Safety and Health requirements and company safety procedures.
- Assist with safety and health inspections, internal audits, risk assessments, and management review activities.
- Promote employee awareness of workplace safety, health, welfare, and a safe working environment.
11) Other Duties
- Support HR improvement initiatives and digitalisation projects.
- Participate in internal audits and management review activities.
- Perform any other duties assigned by Management.
Pay: RM2,500.00 - RM3,000.00 per month
