Responsibilities

Job Summary

Support the Portfolio Manager in managing residential and commercial properties by ensuring maintenance, resident satisfaction, regulatory compliance, and smooth daily operations.

Responsibilities

  • Assist in managing daily operations of assigned residential or commercial properties to maintain high service standards
  • Conduct regular site inspections to assess facility and infrastructure conditions and identify maintenance needs
  • Respond professionally to residents’ and owners’ feedback, complaints, and queries to ensure satisfaction
  • Coordinate repair, maintenance, and project activities with contractors and vendors to ensure timely completion
  • Obtain and evaluate quotations for works and services to support cost-effective decision-making
  • Prepare meeting notices and minutes, and assist in organizing Council Meetings and Annual General Meetings (AGMs)
  • Maintain accurate documentation including service reports, defect logs, and correspondence records for operational transparency
  • Ensure properties comply with building regulations and statutory requirements to mitigate risks
  • Support preparation of monthly operational reports and track budgets and arrears to aid financial management

Preferred competencies and qualifications

  • Diploma in Real Estate, Facilities Management, Building Services, or related field
  • 1–3 years of experience in property management or facilities-related roles
  • Proficient in Microsoft Office applications (Excel, Word, Outlook)
  • Strong communication and interpersonal skills to engage effectively with stakeholders
  • Good organizational and multitasking abilities to manage multiple priorities efficiently
  • Ability to work independently and collaboratively within a team environment

Other Information

  • Working hours: Monday to Friday (office hours), with occasional weekend meetings compensated by time off in lieu
  • Require travel to multiple property sites
