Key Responsibilities
1. Recruitment and Selection (approximately 60%)
- Manage recruitment activities from job posting to offer preparation for assigned vacancies.
- Post vacancies on suitable job portals, social media, career pages, universities and other sourcing channels.
- Source candidates proactively and maintain a pipeline for frequently hired roles, especially teachers and centre-based positions.
- Screen applications and conduct initial phone or online pre-screening based on the approved requirements and salary range.
- Coordinate interviews with candidates, hiring managers and principals, including interview schedules, reminders and follow-ups.
- Maintain accurate recruitment trackers and provide timely updates on vacancies, candidate status, hiring progress and recruitment challenges.
- Conduct reference checks and verify qualifications or documents where required.
- Prepare offer letters and pre-employment documentation for review, and follow up with candidates until acceptance and joining.
- Support career fairs, recruitment campaigns and employer-branding activities.
- Monitor recruitment data such as time to fill, source effectiveness, offer acceptance and candidate drop-off.
2. Onboarding and Employee Administration
- Coordinate pre-boarding and onboarding, including document collection, induction arrangements and first-day readiness.
- Create, update and maintain employee personal files, HR records, databases and trackers with a high level of accuracy and confidentiality.
- Prepare standard HR letters and documents, including confirmation, transfer and other employment-related correspondence, for review.
- Track probation due dates, contract expiry dates, document submissions and other HR deadlines, and follow up with the relevant parties.
- Support offboarding administration, including resignation acknowledgement, clearance documents and exit records.
3. Payroll, Attendance and Benefits Support
- Compile and check attendance, leave, overtime, allowances, deductions and new joiner or leaver information for monthly payroll processing.
- Follow up on missing attendance records and supporting documents before payroll cut-off.
- Support statutory and benefits administration, including EPF, SOCSO/PERKESO, EIS and HRDC-related documentation, as assigned.
- Respond to routine employee questions and refer complex or sensitive matters to the HR supervisor.
4. Training, Engagement and General HR Support
- Coordinate training logistics, registration, attendance records, evaluation forms and supporting documents.
- Assist with employee engagement, welfare, recognition and internal communication activities.
- Support probation reviews, performance documentation and employee relations administration as directed.
- Prepare HR reports, presentation materials, meeting notes and simple data summaries.
- Support the implementation of HR policies, procedures and compliance requirements.
- Carry out other reasonable HR duties or projects assigned by the supervisor.
Pay: RM2,000.00 - RM2,500.00 per month
