Support the end-to-end payroll operations to ensure accurate and timely salary processing while maintaining compliance with company policies and statutory requirements. The role is responsible for payroll administration, statutory submissions, payroll reporting, employee queries, system data accuracy, and continuous improvement of payroll processes.
- Manage and execute monthly payroll processing, ensuring salaries, allowances, deductions, overtime, incentives, and other payroll components are processed accurately and on time.
- Review payroll data and perform payroll reconciliation and validation before final payment.
- Ensure timely and accurate statutory contributions and submissions, including EPF, SOCSO, EIS, PCB/MTD, and other applicable statutory requirements.
- Manage employee payroll matters including new hires, resignations, salary adjustments, promotions, transfers, unpaid leave, and final salary payments.
- Handle payroll-related queries from employees and stakeholders and ensure issues are resolved accurately and within the required timeline.
- Prepare monthly payroll reports, reconciliation reports, statutory reports, and other payroll-related management reports.
- Coordinate with HR, Finance, HRIS, and other relevant stakeholders to ensure employee and payroll information is accurate and updated.
- Support payroll audits and provide required payroll records and documentation for internal and external auditors.
- Ensure payroll processes comply with applicable employment legislation, tax requirements, company policies, and internal controls.
- Identify opportunities to improve payroll processes, system functionality, automation, data accuracy, and operational efficiency.
- Maintain confidentiality and proper control of employee salary and personal information.
- Support the Manager in payroll-related projects, system enhancements, policy implementation, and other payroll initiatives.
Requirements
- Bachelor’s Degree in Human Resources, Finance, Accounting, Business Administration, or a related field.
- Minimum 5 years of relevant experience in payroll operations, preferably within a large or complex organization.
- Strong knowledge of Malaysian payroll practices and statutory requirements including EPF, SOCSO, EIS, PCB/MTD, and relevant employment legislation.
- Hands-on experience in end-to-end payroll processing and payroll reconciliation.
- Experience in handling end-to-end expatriate payroll and taxation, including salary, allowances, benefits, tax deductions, and statutory requirements.
- Good knowledge of Malaysia expatriate tax compliance and relevant payroll regulations.
- Experience in payroll accounting, including payroll reconciliation, journal entries, accruals, and coordination with Finance.
- Experience using HRIS/payroll systems.
- Strong analytical skills with good attention to detail and accuracy.
- Proficient in Microsoft Excel and comfortable handling large volumes of payroll data.
- Good stakeholder management, problem-solving, and communication skills.
- Able to manage confidential information with a high level of integrity and professionalism.
