Senior Operations SupervisorJob Summary

We are seeking an experienced and organised Senior Operations Supervisor to oversee daily warehouse and logistics activities. This role is responsible for coordinating invoicing, purchasing, inventory availability, customer returns, order fulfilment, deliveries, transportation, staff training and operational performance.

The successful candidate will ensure that orders are processed accurately, stock is properly controlled, deliveries are completed on time and operational KPIs are achieved. The position reports directly to the Head of Department (HOD).

Key Responsibilities

• Supervise daily warehouse and operational activities, including picking, packing and order fulfilment.
• Prepare and verify invoices, delivery orders, purchase orders and other operational documents.
• Coordinate purchasing activities and follow up with suppliers to ensure timely delivery.
• Monitor stock availability and inventory levels to prevent shortages or overstocking.
• Conduct regular stock checks and investigate inventory discrepancies.
• Handle customer returns, exchanges and related documentation in accordance with company procedures.
• Coordinate deliveries and ensure orders are dispatched accurately and on schedule.
• Arrange suitable transportation and liaise with transporters, drivers and third-party logistics providers.
• Monitor delivery progress and resolve delays, damages or other operational issues.
• Maintain accurate records of inventory movements, purchases, returns and deliveries.
• Train, guide and supervise operations and warehouse employees.
• Prepare staff schedules, assign daily duties and monitor employee performance.
• Ensure employees follow standard operating procedures, workplace safety requirements and company policies.
• Monitor operational KPIs, identify areas for improvement and implement corrective actions.
• Prepare and submit KPI results and operational reports to the HOD.
• Work closely with Sales, Customer Service, Finance, Purchasing and other departments to resolve operational matters.
• Support continuous improvement initiatives to increase productivity, accuracy and customer satisfaction.
• Perform other duties assigned by management.

Requirements

• Diploma or degree in Business Administration, Supply Chain Management, Logistics, Operations Management or a related field.
• At least 3–5 years of experience in warehouse, logistics, distribution or operations, including supervisory experience.
• Experience in invoicing, purchasing, inventory control, customer returns and delivery coordination.
• Strong leadership, staff supervision and problem-solving skills.
• Good organisational skills and ability to manage multiple priorities.
• Detail-oriented with a high level of accuracy in documentation and reporting.
• Proficient in Microsoft Office, particularly Excel.
• Experience using inventory, warehouse management, accounting or ERP systems is an advantage.
• Good written and verbal communication skills.
• Able to work under pressure and meet operational deadlines.
• Willing to work additional hours when required by operational needs.
