Operations Executive – Steel Industry

Job Summary

Daily Responsibilities of Operations Executive

Contract Administration

• Receive and review newly signed sales and purchase contracts.
• Coordinate with the Finance team to obtain invoice numbers and transaction references.
• Create and maintain transaction records in the internal tracking system.
• Update key contract information, including:

Payment and Letter of Credit(L/C) Coordination

• Coordinate with the Finance team to monitor payment schedules and cash flow requirements.
• Track advance payments from customers and payments to suppliers.
• Collect and verify banking information and documentation required for L/C issuance.
• Follow up on L/C issuance, amendments, and acceptance.
• Ensure all payment-related milestones are completed in accordance with contractual terms.

Shipment and Delivery Monitoring

• Notify suppliers once payment or L/C requirements have been fulfilled.
• Monitor suppliers’ production schedules and shipment readiness.
• Track vessel schedules, laycan periods, and shipment timelines.
• Coordinate with suppliers, freight forwarders, shipping lines, vessel owners, and agents to ensure timely delivery.
• Provide regular shipment status updates to internal stakeholders.
• Escalate potential delays or operational risks and propose corrective actions.

Inspection Coordination

• Arrange pre-shipment and loading inspections with appointed inspection companies.
• Obtain and compare inspection quotations when required.
• Coordinate inspection schedules with suppliers and surveyors.
• Monitor inspection results and report any quality or quantity discrepancies.
• Follow up on corrective actions when inspection issues arise.

Shipping Documentation Management

• Prepare and collect shipping documents from suppliers and service providers.
• Monitor the issuance of Bills of Lading and other transport documents.
• Review shipping documents to ensure compliance with contract terms and L/C requirements.
• Coordinate document presentation with banks where applicable.
• Track the receipt and dispatch of original documents.
• Ensure all documentation is completed accurately and submitted within required deadlines.

Transaction Settlement

• Monitor collections from customers and payments to suppliers.
• Track freight, insurance, inspection, and other logistics-related expenses.
• Coordinate with the Finance team on payment reconciliation and outstanding balances.
• Ensure all financial obligations related to each transaction are settled on time.

Post-Shipment Follow-up

• Maintain and update shipment status reports.
• Handle operational issues and claims related to:

• Archive transaction files and supporting documents.
• Support process improvement initiatives by identifying operational bottlenecks and recommending solutions.

Preferred competencies and qualifications

• Experience over 5 years in international trade for steel products and raw materials with documented achievements
• Educational background in Business Administration, Banking, or International Trade
• Strong knowledge of the global steel industry and international trade practices including payment methods, sea/air transportation, and trade law

Requirements

• Proven experience in steel trading operations, including the purchase and sale of steel products such as Billets, Slabs, Rebars, Wire Rods, DBIC, HRC, CRC, GI, GL, PPGI, PPGL, PC Strands, Steel Pipes, and other steel-related products.
• Experience in handling transactions involving steelmaking raw materials, including Iron Ore, Metallurgical Coal (Coking Coal), Steel Scrap, and other related commodities.
• Solid knowledge and hands-on experience in international trade payment methods, including Telegraphic Transfer (T/T), Letter of Credit (L/C), Documents Against Acceptance (D/A),Documents Against Payment (D/P), and other international payment instruments.
• Practical experience in logistics and supply chain operations, including warehouse arrangements, vessel chartering, container shipping, air freight coordination, cargo inspections, and other related logistics activities.
• Strong understanding of international trade practices, shipping documentation, Incoterms, and contract execution processes.
• Highly diligent, hardworking, and capable of handling multiple tasks simultaneously in a fast-paced environment
• Strong sense of ownership, accountability, and commitment to delivering results.
• Excellent organizational and follow-up skills, with the ability to manage multiple transactions and stakeholders concurrently.
• Detail-oriented, proactive, and able to work independently with minimal supervision.
• Willing to work outside regular business hours when necessary to support transactions and coordinate with international counterparties across different time zones.
