JobDescription:

1. Event Planning & Execution

a) Develop concepts for internalevents (e.g., LNY, ND, Anniversary, Techgo, Family day, Townhall, CSR, internalseminars, talks, and other ad hoc events)

b) Plan and execute events,including coordinating logistics (venue selection, F&B selection proposal,event schedules, vendor management)

c) Prepare event materials (EDMs,onsite registration, emergency plans, posters, do list etc)

d) Act as a contact point forevent-related inquiries, managing stakeholder communications.

2. Event Management

a) Budget Management: Track eventexpenses to ensure alignment

b) Vendor Management: Evaluatevendor proposals and manage vendor timelines and performance

c) Event Promotion: Createcommunication EDMs, prepare feedback forms, and update event calendars

3. On-site Support

a) Provide on-the-ground support(setup, registration, troubleshooting)

b) Onsite coordination withvendors to ensure the success of the event

4. Post-Event Activities &Evaluation

a) Share event photos and recapson the intranet

b) Event Evaluation: Collectfeedback, send post-event surveys, and create AAR reports

5. Intranet Content Administration

a) Manage and update intranetportal content (news, announcements, company information)

b) Create and publish content(EDMs, event articles, photos, videos)

c) Ensure the intranet portal isup-to-date, relevant, and user-friendly

AdditionalResponsibilities:

a) Administrative tasks(scheduling meetings, maintaining databases, payment process, tracking budgets)

b) Bringing fresh ideas to eventconcepts

c) Epicor System Maintenance forevent related payment

d) Provide backup coverage duringthe absence of the primary task colleague

e) All admin staff are expected towork as a team and support one another to ensure the admin operation runssmoothly.

TechnicalSkill Sets:

Must Have

• Experience in event planning or coordination is preferred.
• Strong organizational and detail-oriented skills
• Excellent communication and interpersonal skills
• Proficiency in Microsoft Office and intranet platforms
• Ability to adapt to a fast-paced environment and prioritize tasks effectively
• People oriented, creative thinking and problem-solving skills
• Fast learner with a willingness to adapt and improve
• An open mindset and will seek out feedback to refine and develop their skills

Good to Have

• Experience in event planning or coordination is preferred.
• CMS - Content Management System

Ableto use SharePoint / Adobe to create pages, upload files

• IT background to make changes and amendments on the intranet staff portal
