Responsibilities:

HR Functions:

• Monitoring of work pass expiry and assist with renewals and HR documentation

• Maintain headcount report and HRIS updates

• Maintain employee e-P files

• Support HR letters (confirmation, extension, 3rd party reference check letters)

• Prepare contract renewals for review by HR Manager and update HR system and ensure accurate annual leave is credited

• Scan and update Director’s monthly expense claims for reimbursement

• Support government surveys (MOM, IMDA etc)

• Support HR Manager on monthly insurance tracking and yearly renewal

• Support staff training application, submitting government claims, certifications and maintaining training records

• Validate pre-employment medical invoices to finance

• Cancellation of work passes where applicable

• Set up and maintenance of laptop and account access for a small group of employees (ad-hoc basis)

• Any other duties as assigned

Office Administration:

• Manage general office administration including processing and tracking office expenses and payments

• Office pantry and stationary supplies and vendors coordination

• Maintain and top up first aid box items (every 6 months)

• Creation of quarterly newsletters and festive greetings

• Check mailbox, scan & file letters

About You:

• Diploma in HR, Business Administration or related field

• Microsoft Office (Excel, Word, PowerPoint) and Google Workspace

• Familiarity with HRIS/payroll system (Info-Tech) is advantageous but not necessary

• Knowledge of Singapore Employment Act and MOM regulations

• Attention to detail and positive learning attitude
