Responsibilities

Job Title Project Coordinator – Waterproofing work & rope-based access & QS activities

Department/Reporting

  • Department: Operation Department
  • Reports to: Project Manager

Role Overview The Project Coordinator supports project delivery on building repair & maintenance work, waterproofing work & rope-based access and quantity surveying (QS) activities. The role covers on-site liaison for complaints and meetings, administration of SOR-based quotations and service reports, scheduling and permits, and coordination with stakeholders. The ideal candidate combines hands-on site coordination with strong administrative and commercial skills, a working knowledge of building maintenance or renovation, and a positive, proactive attitude.

Key Responsibilities

  • Site coordination and stakeholder liaison
  • Attend site matters such as complaints, meetings, and requests.
  • Maintain an accurate site diary and record minutes; communicate outcomes to stakeholders.
  • Act as a point of contact between clients, consultants, contractors, and internal teams.
  • Commercial administration under SOR term contracts
  • Issue quotations and prepare service reports based on Schedule of Rates (SOR) term contracts.
  • Prepare and process variations, change orders, and related documentation.
  • Track costs, budgets, and contract compliance; maintain accurate records and filing.
  • Scheduling, planning, and permits
  • Arrange and monitor the schedule of works; coordinate resources, materials, and subcontractors.
  • Manage permits to work (PTW) and related safety/compliance requirements; ensure timely permit issuance and closure.
  • Monitor progress against planned milestones and communicate deviations or risks.
  • Personal qualities and demeanor
  • Demonstrate commitment, responsibility, and a cheerful, proactive disposition in interactions with team members and clients.
  • Building maintenance and renovation knowledge
  • Apply knowledge of building maintenance or renovation works to support planning, feasibility assessments, and coordination with facilities teams.
  • Experience and qualifications
  • Minimum 5 years of experience in project administration/coordination, preferably within construction, facilities management, or related sectors.
  • Experience or exposure to M&E works and QS activities is highly desirable.
  • Additional administrative, technical, and coordination duties
  • Assist with documentation control, contract administration, procurement support, and reporting.
  • Support quality assurance, safety compliance, and site inspections as required.

Qualifications and Skills

  • Education: Diploma in Building/Construction Management, Quantity Surveying, Mechanical or Electrical Engineering or a related field.
  • Experience: 5+ years in project administration/coordination; Bldg, M&E and QS exposure preferred.
  • Technical/Software: Proficient in MS Office (Word, Excel, PowerPoint); familiar with project management software (e.g., MS Project, Primavera) and document control systems; ability to read drawings and specifications.
  • Communication: Strong written and spoken communication; effective liaison with clients, consultants, and contractors.
  • Organization: Excellent multitasking, time management, and attention to detail; able to maintain accurate records and meet deadlines.
  • Cost/Contract Awareness: Basic understanding of quotations, cost tracking, budgets, and change management under term contracts.
  • Safety/Regulatory: Basic knowledge of permits to work, safety standards, and site compliance.

Desirable Criteria (additional attributes that make a great Project Coordinator)

  • Hands-on experience with Waterproofing work, Rope-based access, M&E services and/or QS processes (measurement, pricing, and cost control).
  • Familiarity with building maintenance planning, renovations, and lifecycle cost considerations.
  • Ability to interpret drawings, specifications, and technical documents.
  • Negotiation skills and vendor/subcontractor management capabilities.
  • Problem-solving mindset and proactive risk identification/mitigation.
  • Customer-service orientation and strong stakeholder management.
  • Willingness to learn and adapt in a dynamic project environment; occasional on-site visits may be required.
  • Certifications (optional but advantageous): safety certifications, or a basic project management certification.

Working Conditions

  • Position may require site visits, occasional travel to project sites, and flexible hours to support project demands.
  • Typical office hours with field/component work as needed.

Job Type: Contract

Pay: $4,000.00 - $4,600.00 per month
