Role Overview
As a Customer Service Receptionist, you will serve as our essential Front-of-House representative and the first point of contact for students, parents, visitors, and vendors. You will ensure a welcoming reception environment, manage day-to-day enquiries, support daily administrative logistics, and facilitate smooth communication across the school.
Key Responsibilities
- Front-of-House & Visitor Management
- Warmly welcome visitors, parents, students, and vendors to the school reception.
- Handle incoming mail, courier packages, and general deliveries promptly.
- Enquiries & Parent Engagement
- Respond professionally to enquiries received via telephone, email, WhatsApp, and walk-ins.
- Provide accurate information regarding school programmes, schedules, admissions, and general activities.
- Handle parent concerns and feedback with patience, empathy, and tact, escalating complex issues to management when necessary.
- Assist in drafting announcements and managing parent broadcast channels (e.g., WhatsApp broadcast groups).
- Student Care & Daily Administrative Support
- Monitor daily student attendance, contact parents of absent students to show care and confirm reasons for absence, and log details for teachers.
- Assist with student welfare at the front office (e.g., handling late arrivals or early dismissals).
- Support school events (e.g., Open Day, Sports Day, Graduation) with visitor registration, distribution of materials, and general logistics.
- Assist with basic administrative tasks, including preparing letters, circulars, and updating records as assigned.
What We’re Looking For
- Language: Fluent in spoken and written English. (Ability to speak Mandarin is a strong advantage).
- Skills: Proficient in basic computer applications (MS Office, email, messaging tools).
- Attributes: Pleasant personality, excellent communication skills, patient, responsible, highly organized, and confident in dealing with parents.
- Experience: Experience in customer service, reception, or a school/enrichment centre setting is an added advantage. Fresh graduates with good interpersonal skills are welcome to apply!
