Job Description

Responsibilities

This role is internally known as Property Rents Officer and will be supporting the Australia & New Zealand market by providing a high level of accounts payable and administration support to the Property Rents team ensuring DPE’s financial obligations under all Australian (AU) & New Zealand (NZ) leases are met.


Responsibilities:

  • Maintenance of monthly Rent and Standard Outgoings obligations
  • Manage AU & NZ Property Cards - updating store ownership changes / new store additions etc., including changes to rental and outgoing figures and any vendor changes.
  • Send welcome letter and onboarding instructions to new agents and landlords
  • Create or amend Vendor cards in Navision.
  • Calculate and apply rental increases and standard outgoings adjustments.
  • Perform Annual Standard Outgoings Audit reviews, including liaising with Landlords/Agents to resolve queries.
  • Review accuracy of non-standard rental and outgoings invoices per the lease and process charges once satisfied they are correct.
  • Review and action any changes required on the Store Transactions (AU & NZ) Checklists.
  • Research and respond to queries from Landlords / Property Agents.
  • Respond to inquiries and communicate information to franchisees regarding their obligations under the lease.
  • Liaise with and answer queries from internal departments e.g. Legal and Leasing teams.
  • Review and distribute emails according to triage process
  • Forward notification and request emails to relevant store, franchisee, Regional Manager or Franchise Consultant. E.g. temporary changes that affect our tenancy such interruptions to power, gas, water, trading hours or requests for service and maintenance.
  • Process and maintain appropriate records of rental deposit payments to secure new sites (prior to regular rental payments commencing).
  • Payment of one-off invoices in accordance with company policy in a timely manner
  • File automated email copies of monthly sales figures sent to Landlords / Agents.
  • Enter and update information pertaining to leases in the Navision Leasing Module including scanning and filing lease documents, updating landlord and agent details etc.
  • Maintain hard and soft copies of all leases, lease assignments, renewals, and associated documents.


Qualifications:

  • Strong knowledge of lease agreements, legal compliance, real estate and financial terminology.
  • Able to perform account and statement reconciliations including liaising with vendors to achieve a satisfactory result.
  • Capable of calculating and applying various rent increase formulas (i.e. CPI, Fixed %, combinations thereof, and pro-rating the charges).
  • Ability to read and interpret property lease clauses (or other similar contracts)
  • Ability to learn and proficiently use Domino’s Finance software (Microsoft Navision)
  • Intermediate to advanced Microsoft Office skills (Excel, Word and Outlook)
  • Fundamental understanding of Profit and Loss Statement.
  • Excellent financial, verbal, and written communication skills.
  • High degree of accuracy, attention to detail and record keeping.
  • The ability to troubleshoot, research and achieve a result.

  • Able to communicate with people at all levels and to stay calm under pressure
  • Ability to undertake new tasks quickly, be flexible and to respond effectively to challenges.
