Position Summary
The Student Service Executive is responsible for providing high-quality administrative support throughout the student lifecycle, from enrolment to programme completion. The role serves as the primary point of contact for students on administrative, billing, and payment-related matters, ensuring a seamless and positive student experience.
The incumbent is responsible for coordinating student administration, generating student billing in accordance with approved fee structures, monitoring payment due dates, undertaking collection follow-ups, maintaining accurate student records, and coordinating with internal departments to facilitate students’ progression through their programmes.
The role is expected to deliver excellent customer service while ensuring compliance with institutional policies, procedures, and service standards.
Key Responsibilities
1. Student Administration
- Serve as the primary administrative contact for assigned students throughout their academic journey.
- Coordinate student registration, enrolment, programme progression, deferment, withdrawal, graduation, and other administrative matters.
- Maintain complete, accurate, and up-to-date student records.
- Ensure all required documentation is obtained and properly maintained.
- Respond promptly and professionally to student enquiries and provide administrative support.
2. Billing Administration
- Generate student invoices in accordance with approved fee structures and programme milestones.
- Ensure billing is accurate and issued within established timelines.
- Update billing records following approved changes to student enrolment or programme status.
- Maintain complete billing documentation and records.
- Coordinate with the Finance Department to resolve billing-related enquiries where necessary.
3. Collections Administration
- Monitor payment due dates and outstanding student balances.
- Send payment reminders and follow up with students regarding outstanding payments in a professional and timely manner.
- Maintain accurate records of collection activities and communications.
- Assist students with administrative enquiries relating to payment processes.
- Coordinate with the Finance Department on payment status updates and follow-up actions where required.
- Prepare periodic billing and collection reports for Management.
4. Student Coordination
- Liaise with Admissions, Academic, Operations, and Finance to facilitate students’ progression through each stage of their programme.
- Coordinate administrative readiness for programme transitions.
- Communicate important administrative requirements, deadlines, and institutional announcements to students.
- Foster positive relationships with students by delivering responsive and professional customer service.
5. Compliance and Documentation
- Ensure all administrative processes comply with approved institutional policies and procedures.
- Maintain complete and accurate records and supporting documentation.
- Safeguard the confidentiality of student and institutional information.
- Support internal and external audits by providing accurate administrative documentation.
6. Continuous Improvement
- Identify opportunities to improve student service processes and administrative efficiency.
- Participate in process improvement initiatives and implementation of new procedures.
- Support the enhancement of student administration, billing, and service delivery systems.
Qualifications
- Bachelor’s Degree or higher in Business Administration, Education, Management, Finance, or a related discipline.
- Minimum of 2 years’ relevant experience in student services, administration, customer service, billing, collections, or a related field is preferred.
- Experience in a higher education or training institution is an advantage.

- High level of accuracy and attention to detail.
- Ability to manage multiple priorities and work independently.
- Proficient in Microsoft Office applications.
- Advanced proficiency in Microsoft Excel is an added advantage.
- Experience with Student Information Systems (SIS), Enterprise Resource Planning (ERP) systems, or other administrative systems is an advantage.
- Ability to maintain confidentiality and handle sensitive information with professionalism.

Pay: RM2,500.00 - RM4,500.00 per month
