We are seeking a Policy Administration Manager to lead the delivery of efficient, compliant, and scalable policy administration operations across our commercial lines portfolio. Reporting directly to the Head of Operations, this role will manage day-to-day team workflow and service delivery, allocate and prioritise work, monitor performance and backlog, provide technical guidance across key product classes, and act as a primary operational liaison with the Heads of Underwriting and other internal stakeholders. The role will be expected to maintain strong product and process knowledge across commercial lines, lead team capability development, strengthen operational controls, and drive continued improvement toward a more transparent, data-driven, and customer-focused Policy Administration function.
You will be expected to:
Lead daily allocation, prioritisation, and monitoring of policy administration work, ensuring urgent, aging, complex, and high-priority cases are managed appropriately.
Manage, coach, and develop Policy Administration team members, including workload direction, capability building, performance feedback, and escalation support.
Act as the operational owner for day-to-day policy administration service delivery across commercial lines, ensuring work is completed accurately, efficiently, and in line with agreed service priorities.
Act as a key operational liaison between Policy Administration and Heads of Underwriting, supporting clearer instructions, timely clarification of incomplete submissions, and practical resolution of service issues.
Provide technical and operational guidance to the team on new business, renewals, endorsements, cancellations, documentation requirements, underwriting instructions, and exception handling.
Maintain strong product and process knowledge across commercial lines, including SME package business, casualty, property, construction, financial lines, and marine.
Monitor backlog, workflow visibility, turnaround times, productivity, and quality indicators through accurate use of logs, dashboards, and operational metrics.
Reinforce quality, compliance, and governance standards through checking, escalation, documentation, adherence to approved procedures, and timely remediation of process issues.
Drive practical process improvement initiatives within Policy Administration, including workflow standardisation, clearer handoffs, improved controls, and better reporting transparency.
Support recruitment, onboarding, training, and knowledge sharing within the team to strengthen commercial-lines capability and service consistency.
The right fit person will have/be:
7+ years of experience in general insurance operations, policy administration, or underwriting support in commercial lines.
Prior experience supervising, coaching, or managing a small operations, policy administration, underwriting support, or insurance processing team.
Strong working knowledge of commercial lines products, including Marine, Property, Construction, Casualty, Financial Lines, and SME/Mid-Corp business.
Hands-on experience managing end-to-end policy administration workflows, including new business, renewals, endorsements, cancellations, documentation, and system processing.
Confidence to make day-to-day operational decisions, manage competing priorities, resolve service issues, and escalate material risks appropriately.
Strong stakeholder management and communication skills, with the maturity to engage directly with Underwriting leaders, Distribution, Finance, IT, and other cross-functional partners.
Process-minded and data-aware, with the ability to use operational metrics, service benchmarks, and performance reporting to identify risks, bottlenecks, and improvement opportunities.
Detail-oriented, accountable, and comfortable operating in a regulated environment where quality, documentation, compliance, and internal controls matter.
Demonstrated ability to build team capability through coaching, knowledge sharing, process discipline, and clear performance expectations.
Adaptable, collaborative, and able to balance hands-on technical support with people management, operational control, and continuous improvement responsibilities.
