The Assistant Manager, Payroll & Operations is responsible for overseeing day-to-day payroll and HR operations to ensure accurate payroll processing, statutory compliance, effective employee administration and efficient HR service delivery. The role supervises a small team, coordinates operational activities and projects, and supports the Manager/Head of HR in improving HR processes and service quality.
Duties & ResponsibilitiesPayroll & Compliance
- Manage end-to-end monthly payroll processing and ensure accuracy and timely salary disbursement.
- Review payroll inputs, deductions, allowances, employee movements and statutory contributions.
- Ensure compliance with EPF, SOCSO, EIS, PCB and applicable Malaysian employment requirements.
- Coordinate with Finance on payroll payments, reconciliation and reporting.
- Resolve payroll discrepancies and support payroll audits.
HR Operations
- Oversee daily HR administration, including onboarding, confirmation, promotion, transfer, contract renewal and separation.
- Maintain accurate employee records, HRMS data, leave and attendance information.
- Prepare and review employment letters, HR documentation and operational records.
- Ensure HR policies, SOPs, processes and documentation are properly implemented and maintained.
- Handle employee enquiries relating to payroll, benefits, leave and HR administration.
Compensation & Benefits
- Coordinate employee benefits including medical, insurance and other company-provided benefits.
- Liaise with vendors and service providers on benefits administration.
- Maintain accurate benefits and employee entitlement records.
- Support compensation reviews, benchmarking and benefits-related initiatives.
Team Supervision & Coordination
- Supervise and coordinate the daily work of Payroll and HR Operations team members.
- Allocate work, monitor productivity and ensure deadlines and service standards are achieved.
- Provide guidance, coaching and support to junior team members.
- Coordinate with Finance and other departments on HR operational matters.
Reporting & Process Improvement
- Prepare payroll, headcount and HR operational reports for management.
- Identify operational gaps and recommend improvements to HR processes and workflows.
- Coordinate assigned HR projects, system enhancements and digitalisation initiatives.
- Maintain proper documentation and audit trails while ensuring confidentiality of employee information.
Requirements & Skills
- Bachelor’s Degree in Human Resources, Business Administration, Accounting, Finance or related field.
- Minimum 4–6 years of experience in payroll and HR operations, preferably with supervisory experience.
- Strong knowledge of payroll processing, statutory requirements and Malaysian employment legislation.
- Experience with HRMS, payroll and attendance systems.
- Strong Microsoft Excel, numerical, analytical and reporting skills.
- Good planning, communication, problem-solving and time-management skills.
- Strong attention to detail, integrity and confidentiality.
- Ability to supervise and coach junior team members.
