The Human Resource Executive manages day-to-day HR operations, ensuring efficiency, policy compliance, and high-quality service delivery to both academic and non-academic staff. This role holds primary responsibility for key HR functions, including contract management, performance appraisal administration, scholarship processing, insurance claims, and data-driven reporting.
Key Responsibilities & Duties
1. HR Operations & Service Delivery
- Manage day-to-day HR operational activities efficiently.
- Align all processes with university policies and procedures.
- Maintain accurate employee records and HR documentation.
- Deliver smooth HR services to academic and non-academic staff.
2. Scholarship Administration
- Oversee the end-to-end scholarship management process.
- Verify eligibility, manage documentation, and track disbursements.
- Coordinate with internal departments and external bodies.
- Ensure timely processing of applications and renewals.
3. Reporting & Data Analysis
- TMM Reporting: Prepare, consolidate, and submit reports accurately within deadlines.
- Payroll Reporting: Generate accurate payroll data and maintain information integrity.
- Audits & Queries: Handle payroll-related queries and support internal/external audits.
- Insights: Provide data analysis and actionable recommendations to management.
4. Letters of Appointment (LOA) Issuance
- Draft and issue formal LOAs for academic and administrative roles.
- Manage specific appointments including:
- Dean / Deputy Dean / Head of Department (HOD) / Head of Programme (HOP)
- Board of Governors (BOG) / Adjunct Professors
- External Examiners / External Assessors / Industry Advisors
- Internship positions
5. Contract Renewal Management
- Coordinate the contract renewal process for academic staff.
- Issue timely reminders to staff and department heads.
- Complete documentation and secure necessary university approvals.
6. Performance Appraisal Management
- Administer the annual performance appraisal exercise across the university.
- Guide HODs and Deans on appraisal processes and timelines.
- Compile appraisal outcomes for management review and career development planning.
7. Insurance & Panel Claim Administration
- Manage staff insurance policies and enrollment.
- Process panel clinic and medical claims efficiently.
- Serve as the main point of contact for staff insurance inquiries.
Job Type: Permanent
Pay: RM2,500.00 - RM3,500.00 per month
