Job Description

Responsibilities

1. Human Resources Management

Talent Acquisition:Standardize recruitment workflows, expand local hiring channels (Jobstreet, LinkedIn, Indeed), and manage the end-to-end recruitment process for key positions.

Compensation & Benefits:Oversee monthly payroll processing and ensure timely, accurate statutory contributions including EPF, SOCSO, EIS, and PCB.

Employee Relations & Compliance: Maintain and update the Employee Handbook in compliance with the Malaysian Employment Act 1955 and Industrial Relations Act. Manage employee grievances, disciplinary actions, and execute Domestic Inquiry (DI) procedures when necessary.

Performance & Development: Oversee the annual performance appraisal system. Identify training needs (TNA) and handle HRD Corp levy utilization and grant claims.

2. Office Administration & Expatriate Management

Expatriate Services:Manage the application, renewal, and cancellation of Employment Passes (Work Visas) via MDEC or ESD platforms.

Office Operations:Oversee day-to-day office administration, including vendor management, procurement of office supplies, asset management, and tenancy/facility maintenance.

Compliance & Licensing:Coordinate with local authorities (such as DBKL) to ensure all corporate, business, and signboard licenses are renewed and compliant.

Education:

Bachelor’s Degree in Human Resource Management, Business Administration, Law, or a related discipline.

Experience:

  1. Minimum of 5 years of progressive experience in HR & Administration, with at least 2–3 years in a managerial or supervisory role.

  2. Hands-on experience with local HRIS and payroll software (e.g., Info-Tech, SQL Payroll, Kakitangan).

Core Competencies & Knowledge:

  1. Deep Legal Knowledge:Thorough understanding of the Malaysian Employment Act 1955 (including recent amendments), Industrial Relations Act, and local prevailing market practices.

  2. Language Proficiency: Full professional proficiency in English and Bahasa Malaysia (written and spoken) is required. [Optional: Professional fluency in Mandarin is highly advantageous to interface with regional stakeholders/headquarters.]

  3. Interpersonal Skills: Outstanding communication, negotiation, and conflict-resolution skills, with the maturity to handle sensitive and confidential employee matters.
