Job Description

Responsibilities

Key Responsibilities:

Onboarding & Employee Administration

  • Assist with the preparation of employment contracts, appointment letters and other HR-related documents.
  • Support the onboarding process for new employees, including document collection and HR system registration.
  • Assist with employee enrolment into payroll, insurance and other HR-related systems.
  • Coordinate onboarding arrangements and respond to new hire queries.
  • Maintain accurate and up-to-date employee records and personnel files.

Payroll & Timesheet Support

  • Assist with monthly payroll processing by collecting and verifying employee timesheets, attendance, overtime and allowances.
  • Assist in checking payroll-related information to ensure accuracy and completeness.
  • Support the HR team in handling employee payroll and leave-related queries.
  • Maintain proper records of payroll and attendance documentation.

Offboarding

  • Assist with the preparation of resignation, termination and exit-related documents.
  • Support the offboarding process, including clearance, final payroll coordination and removal of employees from HR systems.
  • Assist with checking employee leave balances and other relevant records during the exit process.

Benefits & Employee Support

  • Assist with employee medical insurance enrolment, renewal and termination.
  • Support employees with general HR and benefits-related enquiries.
  • Assist in maintaining accurate records for employee benefits and insurance matters.

HR Administration & Compliance

  • Maintain proper filing and organisation of employee documents, both physical and digital.
  • Assist in updating and maintaining HR databases and employee records.
  • Support the preparation and maintenance of HR SOPs, policies and guidelines.
  • Ensure HR documentation is handled accurately and confidentially.
  • Assist with general HR administrative tasks and ad hoc HR projects as required.

Requirements:

  • Bachelor's Degree in Human Resources, Business Administration, Psychology or a related field.
  • Fresh graduates with a Bachelor's Degree in Human Resources are encouraged to apply.
  • Candidates with 1–2 years of experience in HR administration or HR operations will have an added advantage.
  • Basic understanding of HR operations, payroll, employee records and Malaysian employment practices.
  • Good proficiency in English and Bahasa Malaysia.
  • Mandarin would be an added advantage.
  • Strong interpersonal and communication skills.
  • Good attention to detail, organisational and time-management skills.
  • Ability to handle confidential employee information with professionalism.
  • Proficient in Microsoft Office, particularly Excel and Word.
  • Positive attitude with a strong willingness to learn and develop a career in Human Resources.
  • Able to work independently while also collaborating effectively with the HR team.
  • Willing to take on different HR responsibilities and work in a fast-paced environment.

Pay: Up to RM4,500.00 per month
