Responsibilities

Roles & Responsibilities

Counter & Communications Support

  • Serve as the primary point of contact at the front counter in the school General Office.
  • Manage multi-line telephone networks, accurately patching incoming calls and resolving basic enquiries tactfully.
  • Attend to all walk-in visitors, including parents, students, vendors, and delivery personnel.
  • Process, sort, and distribute internal and external school mail elements efficiently.

Office Operations & Data Management

  • Execute core clerical tasks including indexing, filing, laminating, document sorting, and coordinating courier services.
  • Input entries into school databases to maintain accurate tracking lists for lost-and-found items, uniform loans, and received goods.
  • Act as the designated Goods Receipt Officer for all delivery and warehouse inventory checking.
  • Oversee collection protocols and documentation for official certificates issued to students, staff, and alumni.
  • Manage ongoing updates, information uploading, and general data maintenance of the school's SAT intranet portal.
  • Review and optimize scheduling calendars for conference rooms, visitor rooms, and shared facility resources.
  • Collect monthly utilities meter readings from all school canteen operators.
  • Coordinate, schedule, and process ad-hoc school bus booking operations as requested.

Frontline Triage & Facility Upkeep

  • Provide essential first-aid triage, tracking, and documentation for students reporting to the counter or front desk.
  • Facilitate urgent stakeholder communications, directly alerting parents or paramedics when emergency services are needed.
  • Ensure all precaution documents and regulatory paperwork are fully endorsed before releasing students from school grounds.
  • Perform routine monitoring of the lobby counter, conference room, visitor lounge, and sickbay to maintain clean, fully stocked facilities.

Job Requirements

  • Education: Minimum of a GCE 'N' Level certificate with explicit passes in both English and Mathematics. Candidates with GCE 'O' Levels, Higher Nitec, or equivalent qualifications are highly preferred.
  • Experience: Strictly requires a minimum of 1 year of relevant experience working as a School Admin Support Officer within an MOE school environment.
  • Skills: Solid grounding in standard administrative processes, strong customer service techniques, time management, and typing skills. Highly proficient in operating basic computer productivity tools and managing digital records.
  • Attributes: Patient, cheerful, and caring disposition with the ability to handle diverse, emotionally charged stakeholders calmly and tactfully. Confident, resourceful, quick-thinking, and highly independent.
  • Pre-employment Clearance: Highly dependent on passing comprehensive Ministry of Education (MOE) background checks, background due diligence, and statutory verification checks.


Working Hours:

Mondays to Fridays, 9:15 AM to 6:15 PM (Inclusive of a 1-hour lunch break; service not required on weekends and public holidays)
