Job Summary

We are seeking an organized and self-motivated Administrative Officer to deliver comprehensive administrative support, manage employee lifecycle processes, and ensure smooth operational efficiency within the company.

Responsibilities

  • Perform bookkeeping and accounting tasks to maintain accurate financial records
  • Prepare and issue quotations, invoices, and payroll documents to support financial operations
  • Obtain, verify, and process vendor and supplier quotations and invoices to ensure timely payments
  • Organize and file accounting, administrative, and HR records to maintain compliance and accessibility
  • Facilitate communication between management and staff to enhance organizational efficiency
  • Enforce adherence to company procedures and policies to maintain operational standards
  • Provide administrative and clerical support including contract tracking and management
  • Manage general administrative duties covering the entire employee lifecycle from onboarding to exit
  • Maintain cleanliness of office premises to ensure a safe and welcoming work environment
  • Oversee employee well-being initiatives and manage pantry and office supplies to support staff needs
  • Execute ad-hoc projects and duties as assigned to support company objectives

Preferred competencies and qualifications

  • At least 1 year of relevant work experience; motivated and enthusiastic fresh graduates are welcome to apply
  • Diploma, A levels, or ITE Nitec/Higher Nitec qualification
  • Detail-oriented approach to ensure accuracy and thoroughness in tasks
  • Excellent verbal and written communication skills to facilitate clear interactions
  • Strong multitasking and time-management skills to handle multiple responsibilities efficiently
  • Reliable and responsible work ethic to maintain trust and accountability
  • Ability to work independently and collaboratively within a team environment
  • Proficient IT skills to utilize office software and systems effectively
