Job Summary
The Clinic Assistant is responsible for providing administrative and operational support to ensure the smooth running of the GP clinic. The role includes patient registration, appointment scheduling, assisting with basic clinical tasks, dispensing medications under the supervision of the Medical Officer, maintaining medical records, managing inventory, and delivering excellent customer service while ensuring compliance with Ministry of Health (MOH) Malaysia regulations and clinic policies.
Key Responsibilities
Patient Registration & Customer Service
- Welcome patients and visitors in a professional and courteous manner.
- Register new and returning patients accurately.
- Verify patient information and update medical records.
- Schedule, confirm, and manage patient appointments.
- Answer telephone calls, emails, and other enquiries promptly.
- Direct patients to the appropriate consultation or treatment area.
- Handle patient complaints and enquiries professionally, escalating issues when necessary.
Administrative Duties
- Maintain accurate electronic and manual patient records.
- Process billing, payments, receipts, and daily cash reconciliation.
- File and maintain clinic documents in accordance with confidentiality requirements.
Basic Clinical Support
- Prepare consultation and treatment rooms before clinic sessions.
- Measure and record basic vital signs.
- Assist doctors, nurses, or medical assistants during examinations and minor procedures.
- Prepare equipment and medical supplies for clinical use.
- Clean and disinfect equipment and treatment areas according to infection control standards.
Medication & Inventory Support
- Dispense medications as prescribed by the Medical Officer, where permitted under clinic policies and supervision.
- Label and package medications accurately.
- Monitor stock levels of medications.
- Check expiry dates and ensure proper storage of medications and medical supplies.
- Assist with stock ordering and inventory documentation.
Clinic Operations
- Maintain cleanliness and organisation of reception, consultation rooms, and common areas.
- Ensure clinic facilities are safe, tidy, and well maintained.
- Support health screening programmes, vaccination sessions, and health promotion activities.
- Assist with opening and closing procedures of the clinic.
Compliance & Quality
- Follow Ministry of Health (MOH) Malaysia guidelines, clinic policies, and standard operating procedures.
- Maintain strict patient confidentiality.
- Adhere to infection prevention and workplace safety requirements.
- Participate in staff meetings, training sessions, and quality improvement initiatives.
Other Responsibilities
- Support the healthcare team in daily clinic operations.
- Assist with special projects or events organised by the clinic.
- Perform other duties assigned by the Clinic Manager or Medical Officer.
Requirements
Education
- Minimum SPM or equivalent.
Experience
- Previous experience in a GP clinic, healthcare facility, pharmacy, or customer service role is preferred.
- Fresh school leavers and candidates without experience are encouraged to apply; training will be provided.

Working Hours
- Based on clinic operating hours, including weekends and public holidays where applicable.
- Shift work may be required.
Pay: RM1,700.00 per month
