Job Responsibilities

1. Team Coordination & Procurement Operations

• Executes and oversees the processing and sourcing of purchase requisitions in strict alignment with Procurement policy, sourcing guidelines, and the ICF framework, safeguarding compliance and operational efficiency.
• Leads the processing and execution of indirect materials and services requests within Coupa/SAP PtP systems, ensuring accuracy, timeliness, and compliance while embedding best practices across the team.
• Leads daily coordination of sourcing and helpdesk activities, ensuring operational KPIs, productivity, and continuous improvement targets are consistently achieved at the business unit level.
• Drives resolution of invoice mismatches, fostering collaboration with peer departments to eliminate recurring issues and strengthen end-to-end process integrity.
• Monitors blocked invoice trends, leading root cause analysis and initiating cross-functional elimination projects with Procurement, Accounts Payable, Record-to-Report, IT, and other stakeholders.
• Acts as the first line of support for PtP systems inquiries, ensuring timely resolution of ServiceNow tickets and reinforcing system reliability.
• Champions data integrity and system hygiene, maintaining consistency and accuracy across procurement platforms.
• Serves as the Single Point of Contact (SPOC) and gatekeeper for stakeholders, safeguarding adherence to procurement processes and policies.

2. Invoice Receipt, Processing & Financial Controls

• Processes invoices (third-party, intercompany, and trade spend claims) in line with corporate policies, guidelines, and SLAs with OpCos.
• Supports daily workload management, handling medium to high complexity tasks across multiple systems.
• Processes and directs daily coordination of invoice processing activities (third-party, intercompany, and trade spend claims), ensuring KPIs, productivity, and continuous improvement targets are achieved at team level.
• Provides leadership in workload management, guiding the team through medium and high complexity invoice processing across multiple systems, while ensuring compliance with corporate policies and SLAs.
• Prioritizes and allocates tasks effectively, enabling the team to deliver within complex operational contexts.
• Ensures documentation standards are upheld in compliance with local legislation and company policies.
• Safeguards execution of tasks within the internal control framework, reinforcing governance and risk management.
• Identifies and addresses process shortcomings, analyzing gaps and driving implementation of improved methods and systems.
• Acts as an authorized system user for PtP platforms (Coupa, Routty, Alusta), ensuring secure and compliant operations within the GBS Centre.
• Leads completion of Month-End Close (MEC) activities, ensuring deadlines are met and financial accuracy is maintained.
• Resolves escalations from suppliers and OpCos, acting as a trusted escalation point and ensuring stakeholder confidence.
• Fosters cross-functional collaboration, engaging with colleagues across GBS, OpCos, and suppliers to strengthen alignment and communication.
• Provides direct guidance and support to the team, enabling scope extension and capability development.

3. Projects & Process Optimization

• Identifies bottlenecks and inefficiencies in processes, develops proposals for improvement, and ensures approved changes are implemented and tracked to completion.
• Acts as a proactive member of the PtP senior community, taking ownership of cross-team issues and driving end-to-end process optimization across functions.
• Champions continuous improvement initiatives, embedding a culture of innovation and accountability within the team.
• Leads and takes ownership of the resolution of internal operational issues, such as RPA incidents.
