Your new role
- Manage busy calendars and schedules for bankers, including arranging meetings, calls, and video conferences with both internal and external stakeholders.
- Handle incoming phone calls, take accurate messages, and provide prompt assistance when needed.
- Coordinate business travel arrangements, including flight and hotel bookings, while following company travel policies.
- Prepare and submit monthly expense claims through the Concur Expense Management platform.
- Provide administrative support to bankers, including preparing documents, gathering research materials, news updates, and project-related information.
- Manage incoming and outgoing mail, courier services, and document distribution.
- Assist with general administrative tasks, document preparation in Microsoft Word, and ad hoc projects.
- Organise client events, lunches, dinners, and support invitations to company-hosted events.
- Work closely with other Executive Assistants to ensure smooth team coverage during absences and busy periods.
- Build and maintain good working relationships with colleagues across global offices.
What you'll need to succeed - Previous experience in an administrative, executive assistant, team assistant, receptionist, or customer-facing support role.
- Experience within banking, financial services, or a corporate environment is preferred, but not essential.
- Junior candidates are welcome, provided they are proactive, eager to learn, and interested in working in a fast-paced Investment Banking (IBD) environment.
- Strong organisational skills with the ability to manage multiple tasks and prioritise effectively.
- Detail-oriented with a commitment to delivering high-quality work.
- Professional, mature, and able to work confidently with stakeholders at all levels.
- Excellent communication and interpersonal skills.
- Reliable, proactive, and a strong team player.
- Good business awareness and interest in financial markets.
- Fast and accurate computer and typing skills.
- Strong Microsoft Outlook skills, including calendar management and scheduling across different time zones.
- Proficiency in Microsoft Word, including formatting complex documents and mail merges.
- Basic to intermediate Excel skills for reporting and record maintenance.
- Comfortable using workplace technology and systems such as Salesforce and other internal platforms.
