The Receptionist cum Admin Assistant is responsible for managing the front desk and providing administrative support to ensure the smooth day-to-day operation of the office. The role includes handling visitors and incoming communications, coordinating office administration, maintaining records, and assisting various departments with clerical and administrative tasks.
Key Responsibilities
Reception Duties
- Greet and welcome visitors, clients, suppliers, and guests in a professional and courteous manner.
- Answer, screen, and direct incoming telephone calls promptly.
- Manage incoming and outgoing mail, courier services, and deliveries.
- Maintain the reception area, meeting rooms, and visitor records.
- Register visitors and issue visitor passes in accordance with company procedures.
- Coordinate meeting room bookings and refreshments when required.
Administrative Support
- Provide general administrative support to the HR, Finance, and other departments.
- Prepare letters, reports, forms, presentations, and other documents.
- Maintain and update filing systems, both physical and electronic.
- Perform data entry and maintain accurate administrative records.
- Photocopy, scan, print, and distribute documents as required.
- Assist in organizing company events, meetings, and training sessions.
Office Administration
- Monitor and replenish office stationery, pantry supplies, and office equipment.
- Coordinate maintenance and servicing of office facilities and equipment.
- Liaise with vendors, suppliers, cleaners, and service providers.
- Assist in managing office assets and inventory.
- Ensure office common areas are clean, organized, and presentable.
HR & Finance Support
- Assist with employee attendance records and leave administration.
- Support onboarding activities for new employees, including preparing documents and arranging workstations.
- Assist in collecting claims, invoices, and supporting documents for the Finance Department.
- Prepare purchase requisitions and coordinate office-related purchases.
- Support document preparation for audits, ISO, or compliance requirements.
Compliance & Documentation
- Maintain confidential employee and company records.
- Ensure proper document control and filing in accordance with company procedures.
- Assist in implementing office policies and administrative procedures.
- Perform other administrative duties assigned by management.
Pay: RM2,000.00 - RM2,500.00 per month
