Job Summary
The Parts Controller Assistant is responsible for supporting the daily operations of the Parts Department, including managing parts inventory, issuing parts to technicians, processing parts orders and ensuring the availability of parts required for vehicle servicing and repair work.
The successful candidate will work closely with the Parts Controller, Service Advisors, Foremen, Technicians and other related departments to ensure smooth workshop operations and timely completion of customer vehicles.
Job Responsibilities
- Assist the Parts Controller in managing the daily operation of the Parts Department.
- Receive, inspect and verify automotive parts delivered by suppliers or the Proton Parts Distribution Centre.
- Ensure the quantity, part number and condition of received parts are accurate based on delivery orders and purchase documents.
- Record and update all incoming and outgoing parts accurately in the company or Proton system.
- Issue parts, lubricants and workshop materials to Foremen and Technicians based on approved Repair Orders.
- Ensure all parts issued are properly recorded and charged to the correct Repair Order.
- Assist in identifying the correct part number according to the vehicle model, chassis number and repair requirements.
- Check parts availability and provide timely updates to Service Advisors, Foremen and Technicians.
- Assist in ordering parts required for scheduled servicing, repair jobs, warranty claims and Vehicle Off Road cases.
- Follow up on outstanding, backordered or urgent parts with suppliers and relevant parties.
- Monitor the status of parts ordered for customer vehicles and update the Service Advisor accordingly.
- Maintain an accurate inventory level and ensure fast-moving parts are sufficiently stocked.
- Assist in conducting daily, monthly and annual stock counts.
- Investigate and report any stock discrepancies, damaged parts, missing parts or incorrect deliveries.
- Arrange parts properly according to part number, category and storage location.
- Ensure the parts storage area is clean, organised, secure and compliant with safety requirements.
- Monitor minimum and maximum stock levels to avoid overstocking or parts shortages.
- Assist in managing obsolete, slow-moving, damaged and warranty-return parts.
- Prepare parts for return to suppliers or Proton according to the required procedures.
- Maintain complete supporting documents for parts transactions, warranty claims, stock transfers and returns.
- Assist in preparing parts inventory, stock movement, backorder and related operational reports.
- Coordinate with Service Advisors and workshop personnel to ensure parts are available before repair work begins.
- Support the Parts Controller in achieving departmental sales, stock accuracy and inventory turnover targets.
- Ensure all parts transactions comply with the company’s standard operating procedures and Proton requirements.
- Handle parts enquiries from internal departments and customers professionally.
- Perform any other duties assigned by the Parts Controller, Service Manager or Management.
Job Requirements
- Minimum SPM, Certificate or Diploma in Automotive, Logistics, Warehousing, Business Administration or a related field.
- Previous experience in automotive parts, spare parts, warehouse, inventory control or dealership operations is an advantage.
- Fresh graduates with an interest in automotive parts and workshop operations are encouraged to apply.
- Basic knowledge of automotive parts, vehicle servicing and workshop operations is preferred.
- Able to identify and understand automotive part numbers and descriptions.
- Familiarity with Proton vehicles and automotive dealership operations will be an added advantage.
- Basic knowledge of inventory management, stock control and parts ordering procedures.
- Able to use Microsoft Excel, Microsoft Word and basic computer systems.
- Experience using SAP, dealer management systems or automotive parts systems is an advantage.
- Good communication and coordination skills.
- Able to work closely with Service Advisors, Foremen, Technicians, suppliers and customers.
- Responsible, organised, accurate and detail-oriented.
- Able to manage multiple tasks and work in a fast-paced workshop environment.
- Physically fit and able to handle, arrange and move automotive parts when required.
- Able to work independently with minimal supervision and as part of a team.
- Willing to work overtime, weekends or public holidays when required by business operations.
- Possess a valid Malaysian driving licence is an added advantage.
- Malaysian citizens are preferred.

Pay: RM2,000.00 - RM2,500.00 per month
